We are recruiting for two complementary roles: this Project Administrator position and a separate Office Manager / Operations Coordinator position. There is deliberate overlap between the roles, and we are open‑minded about how responsibilities will be divided based on the strengths of successful candidates. Both roles sit within our operations team, where cross‑skilling and shared responsibilities are expected. About the Role

We are seeking an experienced Project Administrator to support the delivery of engineering and fabrication projects. The immediate priority is a significant project running over the next six months, with a transition to supporting a broader range of project work beyond that.

This role is the administrative engine room of project delivery — maintaining document control, supporting project managers with cost tracking and scheduling, coordinating between multiple parties, and ensuring nothing slips through the cracks when engineers are focused on technical execution. You will be the office‑based link for field personnel, receiving information from site, preparing reports, and keeping project documentation flowing regardless of where the team is working.

The ideal candidate brings genuine project administration experience and can operate with minimal supervision. We need someone who understands the rhythm of project delivery and adds value from day one.

Key Responsibilities

Coordination and Expediting

  • Coordinate between project team members, subcontractors, suppliers, and clients to ensure deliverables stay on track.
  • Chase outstanding actions, track commitments, and elevate issues before they become problems.
  • Serve as the office‑based point of contact for field personnel: receive site information, photographs, and updates; organise progress reports; draft documents for review and approval.

Document Control

  • Maintain project documents in accordance with document control procedures, ensuring version control, accessibility, and compliance with project requirements.
  • Manage the flow of technical documents, drawings, and correspondence between project stakeholders.
  • Archive completed project documentation and maintain registers.

Project Controls Support

  • Support project managers with cost tracking, budget monitoring, and financial reporting.
  • Assist with schedule tracking and progress reporting.
  • Prepare routine project reports and documentation for internal review and client submission.

Logistics and HSEQ Support

  • Monitor movements of staff and contractors working on‑site, off‑site, or offshore.
  • Coordinate travel arrangements, accommodation, and visa requirements for project personnel.
  • Support emergency response coordination as required.
  • Assist with PPE requirements, training records, and compliance documentation for project delivery.

Qualifications
  • Relevant qualifications in project management, business administration, or a related field are desirable but not essential.
  • Demonstrated competence in project environments matters more than formal credentials.
Experience
  • Proven experience in project administration, project coordination, or document control — ideally in engineering, construction, oil and gas, or similar technical industries.
  • Demonstrated capability in document control systems and version management.
  • Experience supporting project cost tracking, scheduling, or reporting.
  • Familiarity with coordinating logistics, travel, and personnel movements in a project context.
  • Experience working with offshore, remote site, or field‑based teams is highly regarded.
