About the Job

We are seeking a skilled and motivated People Operations Coordinator to join Vocal’s Operations Team. In this role, you will manage end-to-end recruitment and onboarding, from writing job postings and sourcing diverse candidates, to coordinating interviews and ensuring a smooth new hire experience. You’ll serve as a key partner to hiring managers, maintain applicant tracking systems and reporting, and support process improvements that strengthen our people operations. This is a full-time position through December 2026, with the opportunity for extension.

Responsibilities

Talent Acquisition

  • Create, post, and manage job descriptions across the company website, job boards, and social media
  • Monitor job posting performance and optimize postings for maximum visibility and candidate attraction
  • Conduct candidate screenings to assess qualifications and fit
  • Maintain candidate pipeline and tracking systems, providing regular updates on recruitment metrics and progress

Candidate Outreach & Engagement

  • Develop and execute targeted outreach strategies to attract diverse, qualified candidates
  • Partner with hiring managers to refine role requirements and candidate profiles
  • Respond promptly and professionally to candidate inquiries

Onboarding & New Hire Support

  • Coordinate pre-onboarding activities including offer letter processing, background checks, and reference verification
  • Serve as the main point of contact for new hires, supporting their first weeks
  • Track onboarding progress and gather feedback to continuously improve the new hire experience

Administrative & Process Management

  • Maintain accurate records in Vocal’s applicant tracking system (ATS)
  • Generate regular reports on hiring metrics, time-to-fill, candidate sources, and recruitment effectiveness
  • Ensure compliance with employment laws, Equal Employment Opportunity requirements, and company policies
  • Support the development and refinement of hiring workflows and standard operating procedures

Qualifications

  • 1–3 years of experience in recruiting, HR, or related administrative roles.
  • Familiarity with applicant tracking systems (ATS) preferred.
  • Experience with LinkedIn Recruiter, major job boards, and social media recruiting.
  • Strong written/verbal communication and attention to detail.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Professional, discreet, and able to handle sensitive information.
  • Customer-service mindset with a focus on positive candidate/employee experience.
  • Collaborative and effective at working across teams.
  • Problem-solving skills and adaptability in fast-paced environments.
