Job description

The People Administrator will provide comprehensive administrative support to the HR team, ensuring the smooth delivery of HR services across the organisation. This role is essential in maintaining accurate records, supporting recruitment and onboarding processes, and assisting with compliance and reporting. The postholder will work closely with People Advisors and People Coordinators to deliver a high-quality, customer‑focused HR service aligned with organisational values and safeguarding responsibilities.

Responsibilities
  • Provide day‑to‑day administrative support to the HR team, including document preparation, filing, and correspondence.
  • Maintain and update employee records in the HR system (e.g., iTrent), ensuring accuracy and GDPR compliance.
  • Manage HR team mailboxes, triaging queries and directing them appropriately.
  • Support recruitment campaigns by preparing job packs, advertising roles, and coordinating interview logistics.
  • Process pre‑employment checks, including references and DBS, ensuring compliance with Safer Recruitment practices.
  • Prepare offer letters, contracts, and onboarding documentation.
  • Assist with processing changes to employment, such as contract variations, leavers, and probation documentation.
  • Liaise with Payroll to ensure timely and accurate processing of employee changes.
  • Support the maintenance of the Single Central Record (SCR) and safeguarding documentation.
  • Assist in producing HR reports and data analysis for audits and management information.
  • Ensure compliance with employment legislation and internal policies.
  • Coordinate and administer staff development activities, including booking venues, managing attendance, and preparing materials.
  • Set up training courses and workshops on internal systems and communicate schedules to staff.
  • Monitor completion of mandatory training and maintain accurate training records.
  • Support the organisation of CPD (Continuing Professional Development) programmes and track progress.
  • Liaise with external training providers and manage associated documentation and invoices.
  • Track and report on staff development metrics, including participation and completion rates.
  • Assist in evaluating training effectiveness through feedback collection and reporting.
  • Maintain accurate records for compliance and audit purposes.
  • Triage HR queries and escalating complex issues to People Coordinators or Advisors.
  • Contribute to HR projects and initiatives, including wellbeing, engagement, and equality, diversity, and inclusion (EDI) programmes.
  • Uphold confidentiality and professionalism in all interactions.
