We are looking for a proactive Payroll Administrator with demonstrable experience working within a large, complex, or global organisation. You should be comfortable navigating the fast-moving nature of a multinational business and be ready to manage the unique challenges of a multi-jurisdictional environment. About The Role

In this role, you will act as the core coordinator for our international payroll cycle. You will be the vital link between our internal teams and external providers, ensuring our diverse workforce is paid accurately and in compliance with local regulations across five countries (and counting).

  • Multi-Country Coordination: Act as the primary liaison for our outsourced payroll providers across our EMEA entities, ensuring a smooth and efficient flow of information.
  • Data Orchestration: Partner with HR and Recruitment teams to gather monthly payroll inputs. You will be responsible for formatting and validating comprehensive data sets, including base salary, commissions, bonuses, expenses, employee benefits, and pensions, to create submission-ready files for multiple jurisdictions.
  • Quality Assurance: Conduct rigorous reviews of data input and output with the Payroll Controller to identify and rectify discrepancies before final approval.
  • Financial Integration: Support the Finance Controller with payroll-related reporting, ensuring accurate data for month-end journals and audits.
  • First-Line Support: You will be the primary point of contact for the business, providing first-line support for all employee payroll queries and requests. You will manage the payroll inbox, ensuring every employee receives a timely, empathetic, and accurate response.
  • Ad Hoc Projects: Support with ad hoc payroll projects from time to time, especially during the establishment of payroll in new countries.
Your Experience & Skills
  • Experience: Demonstrable experience in a payroll-focused role, specifically within a large, multinational, or global company with multi-site employees.
  • Complexity Management: Proven ability to work within complex organisational structures and handle high volumes of data and queries across different regions or business units.
  • Advanced Excel: You must be a "power user" (highly proficient in VLOOKUPs and Pivot Tables) to manage and manipulate complex multi-country data sets.
  • Stakeholder Management: Demonstrable experience managing and developing communication skills with both internal departments (HR/Recruitment) and external vendors.
  • Global Service Mindset: Excellent employee query and complaint handling skills, maintaining a professional and helpful demeanour under pressure.
  • Dynamic Mindset: The ability to work dynamically and adapt as the company and your role evolve.
  • Location & Presence: Ability to travel and work from our London office 3 days per week.
  • International Scope: Direct experience with European payroll (specifically France, Germany, Poland, or Switzerland) is highly advantageous.
  • Qualifications: CIPP (Chartered Institute of Payroll Professionals) qualification, or currently working towards it.
  • Tech Savvy: Familiarity with Google Workspace tools and an interest in using Gemini AI to summarise communications or streamline workflows.
  • Systems: Previous experience using NetSuite and ADPiHCM software.
