Job description

The postholder will be responsible for providing an effective and efficient service in line with department and Trust standards, policies and procedures. Duties will include coordinating diaries, reception, answering enquiries via email and telephone, appointment bookings and billing support, providing administrative support, taking payment for self‑funding patients, delivering operational administrative support to the Practice Manager and occasionally covering evening and weekend clinics.

Responsibilities
  • Provide reception duties, assist service users, visitors and staff in a helpful and tactful manner and allow access to the building.
  • Handle telephone enquiries professionally and sensitively, take messages and use initiative to follow up actions when appropriate.
  • Provide proactive and comprehensive administrative support to ensure all office procedures are carried out efficiently, initiating new ones where needed to maximize effective working.
  • Assist and reassure patients who may be distressed or confused.
  • Generate and issue invoices to patients for clinical services, ensuring accuracy and timely payment.
  • Maintain accurate billing records, including payment history and upcoming payments.
  • Follow up on outstanding invoices and collaborate with clients to resolve payment issues.
  • Ensure urgent matters are communicated to relevant staff quickly and accurately.
  • Update the patient record system (user contact details, appointment outcomes, registration forms).
  • Take and schedule deliveries.
  • Arrange interpreters where required.
  • Ensure all equipment and physical resources are maintained and operational.
  • Order supplies and follow up with suppliers.
  • Assist with Health and Safety compliance.
  • Work closely with Consultant Psychiatrists and Psychological Therapists providing private assessments and treatment under a practising privileges arrangement.
  • Build excellent working relationships with colleagues and external stakeholders.
  • Deliver excellent customer service across all service touch points to ensure patients, families and carers receive an outstanding experience.
