Overview

As an office manager you will oversee the smooth operation of an office environment, managing administrative procedures, coordinating staff, and ensuring a productive and safe workplace. You are responsible for a wide range of tasks, from managing office supplies and facilities to supervising staff and implementing office policies.

Responsibilities
  • General Office Administration: Organize and coordinate office operations, set up and maintain office procedures, streamline administrative tasks, and ensure efficient workflow.
  • Managing office supplies and equipment: Order supplies, maintain inventory, and ensure all equipment is in good working order.
  • Handling correspondence and communications: Manage phone calls, emails, and other forms of communication, both internally and externally.
  • Managing office budgets and expenses: Track expenditures, prepare reports, and ensure the office operates within budget.
  • Maintaining office facilities: Oversee the maintenance and upkeep of the office space and equipment, ensuring a safe and comfortable working environment.
  • Implementing and maintaining office policies and procedures: Ensure consistency and clarity in how the office operates.
  • Staff Management: Supervise and train staff, delegate tasks, provide guidance, and evaluate staff performance.
  • Assisting with onboarding new employees: Ensure new hires have the necessary resources and support to be successful.
  • Managing employee schedules and time off requests: Ensure adequate staffing and minimize disruptions to workflow.
  • Other Key Responsibilities: Organize meetings and events, schedule, prepare materials, and coordinate logistics; greet visitors and provide customer support; manage vendor relationships, negotiate contracts, manage invoices, and ensure timely payments; ensure compliance with health and safety regulations by implementing safety procedures and conducting risk assessments; develop and implement office procedures; prepare reports and presentations by compiling information, analyzing data, and presenting findings to senior management; support HR and finance functions such as payroll and employee records.
