Office Manager, Reid Brewin Architects (London)

Founded in 2006 in Paris, Reid Brewin Architects (RBA) has developed into a dynamic international practice, now home to more than 150 team members across our studios in London, Paris, Milan, and Madrid. We specialise in high-specification, large-scale projects – particularly in data centres, commercial offices, and luxury retail. Known for our technical excellence and design-led approach, we offer a vibrant, multicultural environment.

To support the continued growth of our London studio, RBA is seeking an organised and proactive Office Manager to oversee day-to-day operations and ensure the smooth running of our office. Working closely with the directors and the international Support team, this role supports our London studio (22 staff) while also providing remote assistance to our Madrid studio (6 staff) for roughly 20% of the time.

Key Responsibilities
Office Operations
  • Lead the daily running of the London studio, ensuring a professional and well‑organised environment
  • Manage office logistics including supplies, equipment and maintenance
  • Support health & safety compliance and maintain all related documentation
  • Coordinate internal meetings, business travel and team activities
HR Support
  • Manage HR administration including onboarding, inductions, reviews, training and employee records
  • Support recruitment activities (advertising, scheduling, candidate communication)
  • Contribute to a positive and supportive studio culture
Compliance and Administration
  • Maintain QA documentation and assist with ISO procedures
  • Provide administrative support to senior management, including internal reporting and communications
  • Support accounting functions (invoice processing, expenses, coordination with finance)
Support for Spanish Office (approx. 20%)
  • Provide remote administrative, HR, and QA support to the Madrid team
  • Maintain cross‑office procedures to ensure consistency
  • Assist with accounting and reporting tasks as needed
Candidate Profile (Essential)
  • Minimum 2 years’ experience in an Office Manager role within an architecture, engineering, or design environment
  • At least 3 years’ hands‑on experience in HR operations
  • Experience supporting QA and ISO procedures (minimum 1 year) within a structured environment
  • Strong organisational and communication skills, with the ability to prioritise in a fast‑paced setting
  • A proactive, hands‑on approach with the confidence to work independently
  • Exceptional attention to detail, professionalism and consistent delivery
Desirable
  • Spanish and or French language skills
  • CIPD Level 3 or equivalent HR training
