Cardiff | £35,000 - £42,000 | Monday - Friday | Permanent

Acorn by Synergie is recruiting an experienced and highly organised Office Manager on behalf of our client, a law firm in Cardiff. This pivotal role oversees the smooth day-to-day operations of the firm, covering office management, compliance, HR, and financial administration.

Office Management
  • Manage the daily operations of the firm, ensuring efficiency across all departments.
  • Act as first point of contact for clients, stakeholders, and external suppliers.
  • Coordinate meetings, prepare agendas, and maintain accurate records.
  • Implement and streamline office procedures to enhance productivity and profitability.
  • Oversee facilities, IT support, office supplies, and vendor contracts.
  • Ensure PAT testing is completed on all electrical equipment across offices.
Compliance & Risk Management
  • Ensure adherence to SRA regulations, GDPR, and internal compliance policies.
  • Maintain complaints and risk registers, escalating issues where necessary.
  • Support the firm in managing audits, data protection, and health & safety compliance.
  • Ensure any changes or amendments to company policies are signed off by the MD or assigned Board member (H&S, HR, Finance, GDPR, Complaints, Training & Development).
Finance Administration
  • Support budgeting, forecasting, and financial reporting.
  • Monitor supplier contracts and renewals to ensure cost-effectiveness.
  • Work with accounts on billing processes, payments, and cashflow management.
Human Resources & Staff Support
  • Oversee recruitment, onboarding, and offboarding processes.
  • Manage staff records including annual leave, training, and appraisals.
  • Support employee relations, welfare, and performance management.
  • Organise staff training, CPD, and professional development activities.
Business Development & Strategy
  • Assist with business planning, marketing initiatives, and firm growth projects.
  • Represent the firm at professional and networking events.
  • Support the delivery of strategic goals set by the Partners/Board.
Requirements
  • Previous experience in office or practice management, ideally within a legal or professional services environment.
  • Strong organisational and leadership skills with the ability to manage multiple priorities.
  • Excellent knowledge of compliance, risk, and regulatory requirements within a law firm.
  • Financial acumen and experience supporting budgeting and reporting.
  • Strong IT proficiency, particularly in MS Office and case management systems.
  • Excellent communication, problem-solving, and interpersonal skills.
