Job description
Medical Secretary, Head & Neck

Closing date: 06 January 2026

To provide a specialised, comprehensive and confidential patient‑centred clinical administration and secretarial service to the Surgical Services team in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding the specialism for patients.

Main duties of the job
  • Responsible for booking of TWW/Cancer appointments and surgery for Head and Neck Consultants.
  • Ensure clinical documentation is up‑to‑date, orderly and available when clinical decisions are made; collaborate with relevant personnel to maintain efficient administrative system; promptly appropriate documentation.
  • Effectively organise all patients under the consultant and his/her team in accordance with Local and National policy and targets; collaborate with Booking Centre, Patient Access team, Outpatient Access team, General Managers, Theatre, Diagnostic and Ward teams to ensure the elective care pathway for all patients is seamless and sensitive to their needs.

Job responsibilities
  • Maintain an efficient office management system/procedures to enable the consultant and his/her team to optimise their patient care services; effectively manage the consultant's time, manage schedules and leave arrangements; arrange meetings/events; compose and transcribe minutes; prepare correspondence and reports; manage office equipment and stationery levels; process orders; track patients through their pathway from initial referral to discharge.
  • Support team members; demonstrate and explain Departmental practices and procedures; undertake appropriate training and development with new and existing staff; provide cross‑cover on a reciprocal basis; provide day‑to‑day supervision where required.
  • Provide oversight to the Support Secretaries for associated administrative activities, such as patient bookings, appropriate documentation and typing, with local training.
