Qualifications

  • Experience in a busy Personal & Family or similar legal environment.
  • Able to work under pressure and manage competing deadlines.
  • Professional, confident communicator at all levels.
  • Strong team player with a proactive and flexible approach.
  • Well organised, self-motivated and able to work independently.
  • Commercially aware and service-focused.

Responsibilities

  • Comprehensive diary and inbox management, including meetings, travel and refreshments.
  • First point of contact for new client enquiries.
  • Preparation for meetings (papers, itineraries, background information).
  • Proactive email and correspondence management, including document filing in the DMS.
  • Supporting billing, expenses, invoicing and time transfers.
  • Drafting letters of engagement and legal correspondence.
  • Data entry and maintenance of case management systems and internal databases.
  • Assisting with document production, proofreading and presentations.
  • Coordinating travel and accommodation.
  • Minute-taking and general administrative support.

Skills

Excellent organisational and multitasking skills
Proficient in Microsoft Word, Outlook, Excel and PowerPoint
High standard of document production and attention to detail
Experience with Adarent, DMS and BigHand desirable but not essential

To provide high-quality Executive Assistant and administrative support to the Personal & Family team across Glasgow, Edinburgh, Aberdeen and Inverness. The role supports lawyers and paralegals while delivering an efficient, professional service to clients.

Key Responsibilities
