Job description

35 hours per week, 9:30 am to 5:30 pm, with additional hours occasionally required. We are happy to consider agile and flexible working patterns. Our approach to hybrid working allows up to 40 % of time working from home and 60 % working in the office; please contact a member of the recruitment team to discuss further.

The coordinator will be a member of the Hogan Lovells Leadership, Learning & Development team. They will support the design and delivery of a range of global and regional development programmes, workshops and e‑learning for lawyers and members of our Business Team.

Responsibilities
  • Support programme managers across the global team to coordinate and deliver live and virtual programmes and workshops for lawyers, including our development programme for newly promoted counsel which usually runs in London.
  • Support the Director of Learning & Development – Business Team and other programme managers to coordinate and deliver live and virtual programmes, workshops and e‑learning for members of the Business Team.
  • Manage and maintain all pre‑programme logistics including planning documents, scheduling meetings, and ensuring the team stays on track.
  • Create and distribute invitations via iPublish and Outlook and track attendance and programme details through the firm’s learning management system (LMS).
  • Book and liaise with external facilitators and other vendors, including hotels, restaurants, and other service providers.
  • Coordinate room bookings, catering, room set‑up, equipment and technology for programmes, workshops, and events.
  • Communicate with participants and internal faculty, including partner sponsors, facilitators and coaches.
  • Create, update, and distribute programme materials.
  • Manage the running of the in‑person and virtual programmes, including coordinating additional on‑the‑ground support where needed, and hosting Zoom and Teams meetings.
  • Coordinate post‑programme logistics such as scheduling debriefs, tracking lessons learned, creating and summarising programme evaluations, impact surveys and ongoing ROI.
  • Maintain records and databases for different programmes.
  • Manage budgets carefully, including tracking expenditure and ensuring the efficient settlement of invoices and processing of expenses.
  • Create and manage an engaging newsletter to share learning and development offerings and relevant news with our Business Team members.
  • Contribute creative ideas and suggest efficient ways of working where needed.
  • Support additional programmes and perform other duties which fall reasonably within the scope of the job description, as required by the team.

Qualifications
  • Relevant experience with professional development and/or event/meeting planning.
  • Proven competency in software applications and technology skills, including MS Office (Outlook, Word, Excel, PowerPoint).
  • Experience working with a learning management system preferred.
