About the role

The HR Support team at SAMpeople is fundamental to the successful operation of our HR services, which benefit over 1,800 schools and trusts. This team ensures the smooth, compliant, and timely delivery of critical administrative processes. Their focus is on high-volume administrative support, including managing the FusionHR ticketing system, preparing and issuing staff contracts and amendments, and ensuring all regulatory clearances are processed efficiently, such as DBS and Occupational Health checks. The team also takes responsibility for new client set-up and liaising with the client base.

We are looking for a collaborative and people-centric HR Support Officer to join our HR team and provide timely and effective operation of an administrative support service for the HR team. The remit and focus of the role is to manage our FusionHR ticketing system, draft and amend contracts, and support the administration of our investigation service. It’s a broad and exciting role, so we’re looking for someone up for a challenge – if you’re proactive and have a keen eye for detail, this is the role for you.

Core responsibilities
  • Provide timely and effective operation of an administrative support service for the HR team.
  • Responsibility for the FusionHR ticketing system including managing, checking details of all notifications of appointments from schools, salary assessments and pensions records, in order to prepare contracts for new members of staff using the appropriate client templates.
  • Responsibility for drafting and making amendments to contractual terms, issuing new contracts or change letters as necessary.
  • Adhering to Service Level Agreement timescales eg. 2/4 hour, 2/4 day turnaround.
  • Liaising with the relevant contact person(s) at the client base.
  • Administer new client set up on ticket system, liaising with clients. Ensuring the administration of welcome packs for new clients, renewals for existing clients and setting up new files.
  • Ensure that all tickets relating to payroll are forwarded to our payroll providers on behalf of the client, and in accordance with agreed timescales.
  • Ensure all DBS checks are processed appropriately in accordance with agreed timescales.
  • Ensure all occupational health checks / reports are processed, clinics and appointments scheduled and clients are updated on progress.
  • Ensure all counselling referrals are processed in a timely manner.
  • Assist with training administration – producing delegate packs, booking delegates onto courses.
  • Ensure the telephone is answered promptly and in accordance with the company policy, taking appropriate action and notifying the relevant person(s) as required.
  • Maintain and update the Capsule database in accordance with company processes.
  • Keep updated with changes to employment legislation affecting terms and conditions of employment.
  • Draft model policies and procedures, flowcharts as requested for businesses and schools and MATs.
  • To support the administration of the investigation service to clients.
  • Undertake ad hoc administrative project work to support the growth of the business.
About you

  • Excellent communication and interpersonal skills.
  • Experience in Microsoft packages – Excel/Word/Outlook/databases.
  • Working knowledge of HR management, an understanding of employment law and an appreciation of HR’s role in business, development and organisational strategy.
  • Highly motivated, confident, ‘can do’ problem solver and self‑starter.
  • Experience of education sector contracts administration would be desirable.
  • Experience of supporting occupational health administration would be advantageous.
