Responsibilities

  • Ensure all externally maintained HGVs and trailers are fit and road-worthy in accordance with legislation.
  • Oversee the maintenance schedule and bookings for all externally maintained HGVs.
  • Coordinate with maintenance contractors, manufacturers, hire companies, and dealers.
  • Maintain and manage the Service Level Agreement, ensuring KPIs are met.
  • Support the ‘Driver Reportable Defect’ process.
  • Handle inbound/outbound calls from depots, drivers, and customers.

Overview

HGV Breakdown and Service Advisor within the HGV Department, responsible for ensuring that external maintenance vehicles remain roadworthy and compliant, coordinating with external repairers, managing maintenance schedules, and supporting administrative and call‑handling activities.

Responsibilities
  • Ensure all externally maintained HGVs and trailers are fit and road‑worthy in accordance with legislation.
  • Oversee the maintenance schedule and bookings for all externally maintained HGVs, ensuring planned maintenance occurs within legal time limits.
  • Coordinate with maintenance contractors, manufacturers, hire companies, and dealers to administer safety inspections and service agreements.
  • Maintain and manage the Service Level Agreement (SLA), ensuring KPIs are met and VOR levels remain within agreed parameters.
  • Support the ‘Driver Reportable Defect’ process by reviewing maintenance documents for defects, escalating issues to the relevant operator, and ensuring timely resolution.
  • Escalate when a vehicle is likely to become overdue for planned maintenance.
  • Manage administrative support tasks, including ordering fuel, transferring vehicles on and off fleet, and handling supplier invoices and purchase orders.
  • Chase external repairer workshops for updates to reduce VOR time, quality‑check paperwork from third‑party scheduled work, and raise road‑worthy/VOR defects following network repairs.
  • Upload scheduled work documents into the in‑house data‑live system (e.g., MOT, brake test, tacho documents) and input mileage readings for compliance purposes.
  • Handle inbound/outbound calls from depots, drivers, and customers to report faults, place jobs with external repairers, and liaise to ensure repairs are completed.
  • Collaborate with the National HGV Maintenance Manager on aspects of the HGV External R&M P&L.
  • Communicate and coordinate regularly with external repairers and the wider business to keep stakeholders informed.
