Executive Assistant role within a North West London Primary Care Network supporting the Board of Directors
The postholder will providecomprehensive administrative support to the Board of Directors, includingmanaging correspondence, scheduling ad-hoc meetings and ensuring the smooth operation of essential larger shareholder and sub-committee meetings. Preparing reports and handlingother essential administrative tasks. They will act as an assistant, ensuringefficient day-to-day operations and supporting strategic initiatives asrequired.
Harness Care Ltd and Harness Primary Care Networks providesgeneral and extended medical services to a population of 150,000 patientsresiding across Brent.
Harness Care Ltd and Harness Primary Care Networks (PCNs)primary objective is to support the 20 GP Practices and services across theBrent localities. The aim is to develop quality primarycare for patients within Harness and strive for continuous improvement in thedelivery of primary healthcare services across the Harness footprint.
The purpose of the Harness Board is to provide clinicalleadership to the operations and strategic delivery of Harness Care Ltd andHarness PCNs. This includes effective governance, promoting the long-termsuccess and sustainability of the organisation and ensuring accountability andtransparency of the organisation by representing the interests of Harnessshareholders / members / practices.
The post-holder will:
Organise and coordinate meetings, includingsetting agendas in collaboration with the Chair(s).
Provide a comprehensive confidential secretarialand administrative function.
Distribute meeting materials in a timelymanner and ensure all documentation is accessible to committee members.
Record minutes, actions, and key decisions,ensuring timely distribution and follow-up.
Provide administrative support to assist the committeesin achieving its objectives.
Maintain a forward planner for meetings.
Assist with the development of policies,procedures, and strategies as required.
Act as the first point of contact for committeemembers and stakeholders regarding governance matters.
Liaise with internal and external stakeholdersto ensure the effective flow of information.
Work on own initiative with minimal supervision.Prioritising workload, initiating action and resolving and referring problemsas necessary and working to meet deadlines.
Support communication between PCN practicesand the board of directors, ensuring collaborative working.
Maintain a central repository for documents,meeting records, and key decisions.
Keep the Terms of Reference updated andavailable.
Undertake additional responsibilities alignedwith the role as directed by the Chair(s).
