Job Objectives

The Executive Assistant will play a pivotal role in enabling the Group CEO and Group Commercial Director to operate at maximum efficiency by delivering exceptional executive, administrative, and strategic support. This role demands a high level of professionalism, discretion, and adaptability to manage complex calendars, coordinate critical meetings, and streamline communication with internal and external stakeholders. The successful candidate will act as a key liaison and trusted partner, supporting the execution of high-impact commercial and strategic projects across multiple sectors, including health, social care, and hospitality. With outstanding organizational and communication skills, the Executive Assistant will ensure the smooth operation of the executive office, anticipating needs, safeguarding confidentiality, and driving administrative excellence.

Job Overview

We are seeking a highly skilled and experienced Executive Assistant to provide proactive, confidential, and comprehensive support to our Group Chief Executive Officer (CEO) and Commercial Director. This role is instrumental in ensuring the effective management of executive operations, supporting decision‑making processes, and maintaining the highest standards of professional service delivery.

The ideal candidate will be highly organised, an excellent communicator, and comfortable working in a fast‑paced, service‑focused environment. Previous experience supporting senior directors.

Key Responsibilities
  • Executive Support – Manage and coordinate daily calendars, appointments, meetings, travel and accommodation for the Group CEO and Commercial Director. Prepare and edit executive‑level correspondence, reports, and presentations. Anticipate the needs of the executives and provide proactive support in all aspects of daily operations. Maintain strict confidentiality and exercise discretion when handling sensitive information. Serve as the primary point of contact for both internal and external communications for the CEO and Commercial Director. Screen, prioritise, and respond to emails, calls, and other communications. Draft professional correspondence and ensure timely responses on behalf of the executive team.
  • Meeting Coordination – Organise and facilitate high‑level meetings, including agenda creation, minute‑taking, and tracking action items. Coordinate logistics for board meetings, external stakeholder meetings, and corporate events.
  • Project Management – Assist in the execution of strategic projects and commercial initiatives across the business. Monitor timelines and deliverables, ensuring project outcomes align with executive objectives. Support data collection, reporting, and follow‑up activities on behalf of executive sponsors.
  • Administrative Oversight – Manage expense reports, budgeting documentation, and procurement tasks related to the executive office. Maintain accurate records, filing systems, and document control in line with Data Protection Legislation and GDPR. Support the smooth operation of the executive function and liaise with internal departments as needed.
Required Skills & Experience
  • Exceptional organisational and time‑management skills; ability to multitask under pressure.
  • High‑level communication skills both verbal and written with strong professional presence.
  • Strong interpersonal skills and the ability to foster trusted relationships across all levels including senior stakeholders.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Familiarity with collaboration / project tools such as Teams, Trello, Asana, or SharePoint.
  • High level of discretion and integrity when handling confidential matters.
  • Ability to manage competing priorities and maintain calm under pressure.
  • Proactive, self‑motivated, and solutions‑oriented mindset.
  • Experience coordinating board meetings and preparing executive reporting packs.
  • Comfortable working in a fluid, agile environment where change and prioritisation are constant.
  • Track record of process improvement and operational efficiency within an executive support role.
Qualifications
  • Minimum of 3 years experience in an Executive Assistant, Directors PA, or Senior Administrative Support role.
  • Business Administration / Management qualification or a related field (preferred).
  • Experience supporting senior directors or board‑level executives in a multi‑sector or service‑led organisation (Desirable).
