Working Pattern

Full Time, Mon - Fri, Hybrid working. Travel to the London office will be required weekly.

Role Overview

We are seeking a proactive and organised Executive Assistant to provide essential support to a Chief Clinical and Quality Officer. As a vital member of our client's team, you will act as an ambassador for the department, handling complex and confidential correspondence with tact and diplomacy.

Key Responsibilities
  • Act as ambassador for the department internally and externally.
  • Meet and greet visitors and guests.
  • Filter, redirect and respond to Directors telephone calls/written correspondence as necessary (often of a complex or confidential nature).
  • Facilitate travel/facilities requirements for visitors.
  • Produce documents and information – transcribing, formatting, inputting, editing, retrieving, copying, data entry and graphics.
  • Maintain accurate records.
  • Prioritise tasks.
  • Maintain the utmost level of confidentiality at all times.
  • Work as one team across all EAs covering absence to ensure support to the Executive Board.
  • Work on own initiative.
  • Manage complex diary and time of the Director in an efficient manner to achieve maximum beneficial use of their time.
  • Proactively deal with issues in Director's absence using initiative and knowledge to bring resolution.
  • Organise meetings, workshops and conferences for the Director as/when required.
  • Assist in booking conference rooms, meals, refreshments, equipment & transport.
  • Co‑ordinate all travel and related activities (flights, accommodation, transport, currency and visa applications), maintaining records.
  • Attend meetings and ensure smooth running by drafting agenda, taking minutes, issuing minutes and chasing status of actions.
  • Exercise judgement to help Director manage workload effectively.
  • Make connections, undertake research, gather intelligence to generally help maximise the impact and profile of the department.
  • Prepare presentation materials, handouts etc. for meetings to a high standard.
  • Be active and confident through networks to champion or challenge initiatives that impact the Director's department.

They will be adept at building connections and conducting research to enhance the department's profile. Attention to detail and proactive problem‑solving abilities will be key.
