Overview

Newton is looking for a bright, enthusiastic, experienced, highly competent Personal / Executive Assistant to support multiple Partners and Directors who are out in the field delivering challenging projects and leading diverse project teams. You will be joining a dedicated team of Senior Personal Assistants in the Cluster Support Team, providing tactical and efficient support and building a world‑class, high‑performing support function. The role will be based in our Head Office in Kingston Bagpuize, Oxfordshire, working two days in the office and three days from home.

Key Responsibilities
  • Work closely with the wider Executive Support function to provide effective support and increased value to multiple stakeholders.
  • Manage and maintain multiple diaries.
  • Schedule internal and external meetings/events of varying sizes for stakeholders (including appraisals, client reviews, project reviews, internal company development, board meetings, interviews, team meetings and third‑party advisers).
  • Coordinate and book complex travel and accommodation requirements.
  • Provide ad‑hoc project team support on working location, events, and consolidation of travel.
  • Provide holiday cover for other Senior Personal Assistants.
  • Perform ad‑hoc administrative tasks as needed.
  • Submit timecard and expenses promptly.
  • Ensure stakeholders are aware of and act on important tasks and deadlines.
  • Manage databases and filing system, including One View Contacts Management System.
  • Drive and share best practice in how we support senior people across the business, enabling them to deliver the best value to our clients.
Requirements
  • At least 2 years of demonstrable experience in a Personal / Executive Assistant role supporting multiple people.
  • Experience with diary management, coordinating/booking and managing high volumes of activities, particularly travel and accommodation.
  • Ability to think ahead and anticipate needs before they arise.
  • Methodical coordination skills and logical thinking.
  • Exceptional organisational skills: ability to multi‑task and organise others.
  • Excellent oral and written communication skills, with the ability to work and communicate effectively within a team and enjoy being a team player.
  • Experience working within a high‑paced environment where you can remain calm under pressure, adaptable and responsive to ever‑changing challenges and priorities.
  • Excellent use of Outlook, Word, Excel, and PowerPoint.
  • Self‑motivated, proactive attitude, a “can do – will do” mindset.
  • Discretion and confidentiality guaranteed.
  • Exceptional attention to detail and deadlines.
  • Capability to filter information and assess priorities, always looking to bring additional value to the team.
  • Ability to quickly learn new IT systems and processes to provide support to your colleagues.
