E-Roster and Temporary Staffing Co-ordinator

An opportunity has arisen for an experienced administrator within the Trust's E-Rostering and Temporary Staffing hub.
Our E‑Roster and temporary staffing co‑ordinators play an essential role in processing bookings to fill temporary staffing assignments across the Trust and support the administration of the E‑Rostering platform (Allocate).
Applicants must have education to A‑Level (or equivalent) standard and previous experience working in a temporary workforce environment with experience of using the Health Roster suite systems.

Main duties of the job
- Coordinate the booking of temporary staff using the Allocate system.
- Receive requests for temporary staffing cover and liaise with departments to cover shifts appropriately.
- Provide advice and guidance in creating ward and department staffing rosters.
- Maintain effective daily liaison with clinical site managers.
- Fulfil reporting requirements for temporary staffing and rostering.
Job responsibilities
- Coordinate bookings of temporary staffing for all specialties using the Allocate system.
- Manage own workload independently, making decisions based on knowledge and skills.
- Take incoming calls from wards/departments requesting bank cover, coordinating shift coverage.
- Understand the needs of different staff groups covered by e‑rostering and temporary staffing service.
- Ensure booking information is communicated to all relevant personnel in good time; liaise with users and banks.
- Raise issues regarding shift fulfilment to senior team members as required.
- Provide advice and support managers in creating rosters and matching requests to suitable bank members.
- Advise managers on the process of requesting temporary staff and escalating non‑compliance.
- Liaise with clinical site managers for daily handovers of bookings and outstanding shifts.
- Assist in monitoring temporary staffing, providing reports on usage.
- Maintain communication with external temporary staffing providers.
- Ensure efficient responses to shift requests and place workers appropriately.
- Coordinate with approved agencies to fill outstanding shifts after bank availability is exhausted.
- Complete Agency Worker Checklist and confirm compliance with rates and capping rules.
- Input data into booking system in accordance with processes and priority booking rules.
- Monitor and update personal information of all workers via Health Roster and BankStaff systems.
- Assist managers with basic e‑rostering tasks such as annual leave planning, roster set‑up and staff moves.
- Create user guides and maintain the e‑roster staff intranet.
- Provide sensitive information to support electronic rostering implementation.
Person Specification
Educational attainment
- 3 A Levels (or equivalent) Grade C or higher
Experience
- Previous experience working in a busy temporary workforce environment, handling high volumes and meeting challenging placement targets.
- Experience of using Health Roster suite systems.
- In‑depth administrative experience, including use of computerised systems and report generation.
