About Us

The Anthro joint venture between Egis and VVB Engineering will provide comprehensive turn-key services for London’s state-of-the-art HS2 gateway station at Old Oak Common. We have been awarded a multi-year contract to deliver MEPHFC (Mechanical, Electrical Public Health, Fire and Communications) systems works.

About the Role

As a Document Controller, you will play a key role in supporting the smooth flow and organisation of project documentation. Working closely with the Document Controller Manager and design team, you will handle all aspects of documentation— registration, receipt, distribution, and issue. Your work will ensure the accuracy and compliance of all project documents, creating a well-maintained and accessible project filing system. You will oversee the organisation, quality checking, and distribution of critical project files to ensure the team’s access to updated information and maintain efficient document control.

You will be based in our office in Acton, London 3 days a week.

Key Responsibilities
  • Review, number, and submit project documents with unique references and revisions before submission to the client
  • Upload and download project documents to both client EDMS and Asite systems
  • Maintain an updated Document Control register
  • Track all incoming and outgoing project documents, ensuring all team members and subcontractors receive the latest versions
  • Conduct quality checks on documents before filing and distribution to ensure compliance
  • Organise the project filing system and manage digital archiving processes
  • Coordinate with various departments, including HS2 and external consultants, to support documentation needs
  • Provide administrative support to project and technical teams.
  • Follow document procedures across digital platforms such as Microsoft Office, Asite, and ALIM
  • Act as the subject matter expert in document management, offering training and promoting best practices
  • Administer company and client EDMS systems, managing user permissions, creating new users, and deactivating users as needed
  • Support upcoming stages by creating and maintaining workflows
What do we need from you
Essential
  • Previous experience in Document Control with strong knowledge of EDMS systems (e.g., ALIM, Asite, SharePoint)
  • Proficiency in Microsoft Office Suite
  • Excellent time management, prioritisation, and troubleshooting abilities
  • Strong attention to detail, quality focus, and methodical working style.
  • Adaptability in a dynamic environment with a proactive, ‘can-do’ attitude
  • Effective communicator with strong interpersonal and customer service skills
  • Qualifications in Information Management, Administration, or equivalent experience
