Director of Finance

This full-time, permanent position offers competitive benefits including fully covered medical, dental, vision, life, and short-term disability insurance. JOB SUMMARY

Supervises and manages the day-to-day financial and business office functions of the Aquarium. Analyzes the financial condition of the Aquarium and prepares related reports. Coordinates the preparation of the annual budget. Provides financial advice, leadership, and guidance to Aquarium departments. Oversees Business Office. Serves as a member of the senior management team and the Finance/Audit Committee.

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS

1. Recommends programs and policies to the President and the Board of Directors to ensure that the finance and accounting systems of the Aquarium reflect current advancements in financial management and helps the Aquarium maintain a strong financial position.
2. Reviews a variety of financial reports and analyzes financial trends to evaluate the accounting systems and overall financial conditions of the Aquarium.
3. Leads the day-to-day operations and staff of the Business Office.
4. Prepares monthly financial statements, cash flow reports, departmental expense reports, summary reports and other information systems that meet the needs of the Aquarium.
5. Reviews and accounts for all accounts receivables, payables, and payroll preparation and reports. Is knowledgeable and stays current with all Federal and State payroll law, regulations, and requirements.
6. Monitors internal controls, daily cash flows and authorizes payment of Aquarium obligations.
7. Ensures completion of monthly, quarterly, and annual payroll reports for the appropriate governmental agencies. Initiates payments for payroll taxes.
8. Assists with the procurement and administration of employee insurance plans, retirement funds and other employee benefit programs, including preparation of annual 5500 plan filing.
9. Manages Aquarium liability, property, and insurance plans, including procurement of insurance policies.
10. Coordinates the Aquarium’s annual budget and inputs budget into accounting program.
11. Ensures that restricted funds are accounted for and spent per donor agreements.
12. Oversee monthly payments to HSA accounts and retirement funds.
13. Establishes and maintains systems to manage and control the Aquarium’s assets.
14. Assists with on-site vendor operations, including contract negotiations
15. Prepares annual audit work papers and documentation for the preparation of the annual non-profit tax returns. Reviews prepared Form 990 and annual audited financial statements.
16. Reports to President and the Board of Directors on all financial matters.
17. Attend Board, Executive Committee meetings and other Committee meetings as required.
18. Prepares a variety of reports and participates in special projects at the direction of the President and the Board of Directors.
19. Oversight of capital project budgets, working closely with CEO on budget timelines for life of projects. Will attend all meetings in regard to capital projects as required.
20. Oversees cash management of liquid funds to maximize investment return.
21. Builds the financial literacy and competencies of leadership staff through trainings, 1:1 work, and reference materials.
22. Optimize processes, while ensuring accuracy and compliance, to minimize administrative burden and increase efficiency.

Experience Required

KNOWLEDGES, SKILLS, AND ABILITIES (Minimum levels)-Degree in accounting, finance, or a closely related field.-CPA certification is desirable.-Minimum of ten years progressively responsible accounting experience which should include financial statement and cash flow preparation, internal controls, payroll and cash management expertise and compilation of the documentation for Form 990.-Knowledge of and experience with Sage Intacct accounting system-Non-profit accounting experience is required.-Working with a Board of Directors is preferred.Any acceptable equivalent combination of education or experience which demonstrates the background necessary to perform the functions of the position may substitute for the above.
