Contracts and Compliance Officer

Accountable To : Managing Director / Clinical Lead

Role Purpose

The Contracts and Compliance Officer is responsible for the coordination, oversight, and continuous development of the organisation’s governance, compliance, and quality assurance framework. The post holder ensures that AxIOM Neuromonitoring Ltd operates in line with regulatory, contractual, and accreditation requirements, while supporting effective leadership, transparency, and continuous improvement across the organisation.

Key Responsibilities
1. Governance and Quality Assurance
  • Maintain oversight of the organisation’s governance and quality assurance systems.
  • Manage core governance registers, including:
    • Risk Register
    • Complaints and Feedback Register
  • Ensure incidents, complaints, and feedback are investigated appropriately, with learning identified and actions implemented and reviewed.
  • Support a culture of openness, accountability, and continuous improvement.
2. Regulatory and Accreditation Compliance
  • Lead and coordinate regulatory compliance activity, including CQC and IQUIPS processes.
  • Ensure statutory notifications, provider information updates, and regulatory correspondence are completed accurately and within required timeframes.
  • Maintain ongoing inspection readiness.
3. Audit and Assurance
  • Develop, coordinate, and oversee the internal audit programme.
  • Conduct audits directly or ensure audits are completed by appropriate personnel.
  • Ensure audit findings are reported, actions are monitored, and improvements are embedded.
  • Provide assurance to the Board that governance systems demonstrate effective leadership and control.
4. Workforce Compliance and HR Governance
  • Ensure all employees, contractors, and volunteers meet compliance requirements.
  • Oversee recruitment governance processes in collaboration with the HR team, ensuring:
    • Pre‑employment checks are completed
    • Records are accurate, secure, and auditable
    • Ongoing compliance is monitored
5. Board and Committee Support
  • Coordinate Board and Clinical Governance Committee meetings, including:
    • Agenda preparation
    • Distribution of papers
    • Minute taking
    • Action tracking and follow‑up
  • Prepare governance and performance reports for meetings, including:
    • Safeguarding activity
    • Audit activity
    • Complaints and feedback trends
    • Risk register summaries
6. Policy Management
  • Maintain oversight of organisational policies and procedures.
  • Act as an active member of the Policy Committee.
  • Ensure policies are reviewed, updated, approved, communicated, and implemented in line with regulatory expectations and operational practice.
7. Contracts and Frameworks
  • Support and coordinate NHS framework applications, tenders, and bids.
  • Ensure governance, compliance, and quality requirements are accurately reflected within contractual submissions.
8. Team and Organisational Culture
  • Work collaboratively across the organisation to support a cohesive, inclusive, and professional working environment.
  • Contribute to the ongoing development and quality assurance of the organisation’s governance strategy.

Person Specification
Essential Criteria
Knowledge and Experience
  • Experience or demonstrable understanding of governance, compliance, or quality assurance frameworks.
  • Experience working within a regulated environment or an understanding of regulatory requirements in healthcare or similar sectors.
  • Experience supporting audits, inspections, or external verification processes.
Skills and Abilities
  • High level of attention to detail with strong organisational skills.
  • Excellent written and verbal communication skills.
  • Confident engaging with external regulators, auditors, and verifiers.
  • Ability to analyse information and present clear, structured reports.
  • Ability to work independently, manage competing priorities, and meet deadlines.
IT Competence
  • Competent in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Ability to adapt to bespoke systems and digital governance platforms.
