Pathway Co‑ordinator - Cellular Pathology Band 3

South West London Pathology is an award‑winning NHS pathology partnership set up by St George’s University Hospitals NHS Foundation Trust, Croydon Health Services NHS Trust, Epsom & St. Helier NHS Foundation Trust, and Kingston Hospital NHS Foundation Trust to provide a single, integrated pathology service across South West London and beyond.

On 1 May 2021, Epsom and St Helier University Hospitals NHS Trust joined to form an expanded South West London Pathology partnership.

Duties will include working with consultant pathologists, laboratory and administrative staff, as well as Cancer Services departments, to ensure that all patients have their Cellular Pathology reports completed and authorised within the pathology targets set for cancer patients. You will also play a fundamental role in preparation of cases for multidisciplinary team meetings. Good literacy, numeracy, IT (particularly Microsoft Excel) and communication skills are required; keyboard skills would be an advantage. You should have the ability to work as part of a team and to manage your own workload. Previous experience of medical terminology and data entry in a diagnostic pathology environment would be advantageous. Candidates who have applied in the past 3 months need not apply.

Cellular Pathology

This post is based at St George’s Hospital however you may be required to work at any of the South West London Pathology sites as and when necessary. An opportunity has arisen within the Cellular Pathology Department for a full time Pathway Co‑ordinator. We are looking for an enthusiastic, hard working person to work closely with all grades of Cellular Pathology staff in our busy but friendly department. In addition the post‑holder will work closely with Cancer Services staff in all of our partner Trusts.

1. To actively seek to ensure that all patients have their Cellular Pathology reports completed and authorised within the pathology targets set for cancer patients.
2. To be the point of contact for patient issues relating to the pathway of unreported diagnostic specimens as they are processed by the department.
3. To understand the Cellular Pathology specimen pathway, actively monitor progress through the department ensuring timely intervention is achieved as and when necessary.
4. Where these targets are not likely to be met; to proactively take steps to assist SWLP Cell Path team members return reporting turnaround times back within target. To use pathology and Trust IT systems to actively monitor diagnostic case turnaround times and identify cases that may breach cancer targets for highlighting to consultant pathologists and retrieving these cases/slides from the lab and handing over to the respective Specialty duty consultant for timely reporting.
5. Develop information systems, in line with Trust and SWLP strategies, for the recording and reporting of Cellular Pathology samples. Working across multiple systems, ensure that the key clinical and administrative data is recorded and validated.
6. To allocate Royal College of Pathology derived scores for diagnostic cases under the supervision and direction of the consultant pathologists.
7. To allocate diagnostic cases to consultant pathologists for reporting, according to rota availability and scoring systems.
8. To liaise with other hospitals and pathology departments in order to chase the progress of referral cases.
9. To provide efficient and high‑quality administrative support for ALL the MDTs attended by departmental consultant pathologists/delivered by the Cell Path department.
10. To facilitate the administration of additional testing at external institutions (e.g., molecular requests and forms).
11. To retrieve slides from file and print reports for use in MDT meetings and be the point of contact for the Consultant delivering the MDT.
12. To prioritise own workload and complete tasks working to tight time schedules.
13. To have knowledge of when specific documentation needs to be shared with other departments.
14. Use Pathology and Trust IT systems to ensure relevant and appropriate patient information is entered and captured.
15. To deal with complaints in accordance with Trust and departmental policy, as directed by your line manager.
16. To track the movement of patient notes on the Trust’s computer systems and deal with queries relating to their whereabouts.
