Job summary

A mental health service provider in Birmingham is seeking an administrative role responsible for handling queries from service users, including GPs and patients. The position requires proficiency in Microsoft Office and excellent clerical skills. You will be responsible for maintaining patient data and providing support to the Locality Team. Ideal candidates will have a compassionate approach to support the community.

  • Perform routine clerical duties including filing, photocopying, and document production.
  • Provide a telephone answering service for members of the Locality Team.
  • Validate patient details and demographics in the FTB Database.
Job description
Overview

Deal with queries from service users, including GPs, patients and their representatives, either face to face or via the telephone in a professional manner that is consistent with legislation, policies and procedures including data protection and confidentiality. Source related information that might help deal with the query. Take accurate written messages and pass more complex queries on to the relevant staff.

Responsibilities
  • Use word processing packages and Microsoft Office to produce documents (e.g. faxes, letters, tables).
  • Daily use of Outlook for communication (sending/receiving emails), book and check meeting rooms and equipment.
  • Perform routine clerical duties (e.g. filing, photocopying, production of letters, reports and other documents to specific formats using appropriate software and office equipment).
  • Ad-hoc production of notices for the office using appropriate software.
  • Provide a telephone answering service for members of the Locality Team, transfer to appropriate staff or take messages and ensure details are accurately logged in the correct message book as required.
  • Validate patient details and demographics and ensure any changes are updated on the FTB Database.
