Job description

The job description refers to the principal duties and responsibilities of the Post. It does not necessarily list in detail all the tasks required to carry out these duties and responsibilities.

Business Support / Customer Service
  • Providing a high quality service to our external / internal customers.
  • To deal with all matters relating to the registration and compiling of all forms of applications, other submissions to the Council, including the collection of fees and issuing of invoices.
  • Assist with the collating, monitoring and analysing of data and feedback to identify actions to improve services.
  • To assist with the preparation / formatting of Cabinet, Scrutiny and Committee Reports.
  • To provide workplace training to other colleagues as and when required to ensure consistent service delivery.
  • To be able to work to strict deadlines and be capable of delivering high levels of customer service, both personally and through the high quality of their interaction with customers, with an extensive understanding of operational needs in a proactive working environment. This will require attention to detail and strong prioritization skills.
  • To undertake data analysis and provide reports as necessary to support the function of the schemes. This will involve:
    • (a) Fleet Management Systems : Tranman / Trackyou (Vehicle Telemetry System) Route Planner for Journeys.
    • (b) Microsoft Packages.
  • To prepare and collate management reports and information, where required in order that managers can monitor efficiencies within their service areas. This will involve a Vehicle Telemetry System (TRACKYOU).
  • To carryout the initial and follow up of driver licence checking and updating the insurance database via the Fleet System (TRANMAN).
  • To proactively respond to customer enquiries using excellent interpersonal and people skills via telephone, written, emails and in person.
  • The role is very hands on and requires a can do attitude and thrives on working within a busy and demanding team environment, to ensure on time, service delivery.
  • To lead by example by promoting and championing the Pool Car Scheme administration function in the service provided.
  • Have a pro-active approach to change and embrace continuous improvement.
  • To provide word processing / excel and minute taking service to all officers of the Directorate using Microsoft packages.
  • To provide administrative support for projects within the Directorate.
  • Required as necessary to cover during periods of leave / sickness in the Support group at the Alps / Court Road or other directorate location.
  • Ensure compliance with the Councils Financial Regulations, Standing Orders, Policies and Procedures.
  • To implement the principles of the Councils Equal Opportunity Policy whilst carrying out the above duties.
  • To adhere to Health and Safety legislation / relevant Council policies and procedures and to take reasonable care for the health and safety of yourself and other persons who may be adversely affected by your acts / omissions.
  • To implement the principles of the Council's Environment Policy while carrying out the above duties.
  • To report without delay any safeguarding concerns to the appropriate safeguarding officer.
  • Such other duties and responsibilities commensurate with the grade and in accordance with the general character of the job as may reasonably be required by the Chief Officer from time to time.
