Overview

Brightpoint Community College invites applications for two Administrative Assistant positions in the Math, Science, Health and Human Services Division and in the Nursing and Allied Health Division. The Administrative Assistant will provide administrative support to assist the Dean, Associate Dean, faculty, and staff within the assigned division. Working within established institutional policies and procedures, the Administrative Assistant performs a variety of administrative support activities, including assisting with daily operations and the management of office activities and tasks; providing exceptional customer service to students, faculty, staff, and the public; resolving inquiries in a timely and professional manner; managing calendars, deadlines, and the division-wide schedule of classes using technology-driven systems; preparing and processing forms, purchase orders, budget-tracking materials, and division reports in compliance with institutional policies; preparing and maintaining adjunct contracts and related records; developing and maintaining organized electronic and physical filing systems for records, reports, and correspondence; assisting with and coordinating special projects, events, and initiatives under the direction of the Dean or Associate Dean; interacting with other departments across the College; and upholding confidentiality and discretion when handling sensitive information and personnel matters. Positions may be assigned to either the Chester or Midlothian Campus, with location subject to change based on the needs of the College. Candidates must be willing to work both day and evening shifts, as needed.

Screening Requirements
  • The selected candidate must pass a required background check.
  • All full-time classified employees new to the Commonwealth of Virginia will serve a 12-month probationary period.
Qualifications and Experience

Demonstrated knowledge of general office procedures, administrative best practices, and record-keeping methods for both physical and electronic files; familiarity with basic accounting or budgeting principles, as well as workplace safety and security protocols; proficiency in written and verbal communication, supported by strong organizational, time-management, and task-prioritization skills; demonstrated ability to provide excellent customer service and interpersonal support in a professional environment; skill in data entry, document preparation, and executive scheduling and calendar management; ability to maintain confidentiality, exercise discretion, and appropriately handle sensitive information; capacity to work both independently and collaboratively, adapt to changing priorities, manage multiple tasks simultaneously, and meet established deadlines; proficiency with standard office software—including Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint, and OneDrive) and Google Workspace—with the ability to learn and effectively use enterprise systems such as PeopleSoft, Emburse Enterprise, EVA, and Adobe products; commitment to developing and maintaining up-to-date knowledge of technologies and best practices relevant to assigned duties.

Additional Considerations
  • Experience in a higher education or public sector administrative setting, preferably within a community college environment.
  • Demonstrated experience providing administrative support, including complex scheduling, meeting coordination, and preparation of professional correspondence and reports.
  • Proven ability to coordinate projects, track progress, and manage competing priorities with close attention to detail and accuracy.
  • Familiarity with institutional policies, procedures, and regulations within higher education.
  • Proficiency in enterprise software systems such as PeopleSoft (Student Information System), Emburse Enterprise, EVA, and Adobe applications.
  • Knowledge of, and ability to apply, Web Content Accessibility Guidelines (WCAG) 2.1 Level AA standards to electronic documents and online content.
  • Demonstrated initiative, foresight, and proactive approach to managing office operations and anticipating administrative needs.
  • Experience maintaining professionalism, confidentiality, and discretion when handling sensitive or confidential information.
