Admin Assistant

An exciting opportunity has arisen for an experienced Administrative Assistant to join a leading organisation based in Belfast

This is a Full-Time, Fixed-Term, position to cover up to 3 months (with the possibility of being extended thereafter).

Working hours: Monday to Thursday: 8.50am - 5pm and Fridays: 8.50am - 4.25pm. (36.5 hours per week).

With an hourly rate of £14.39 per hour.

A Basic Enhanced Check will be required.

Essential Criteria
  • At least five GCSE passes or equivalent at Grade C or higher-level qualification, to include qualifications that demonstrate literacy/ proficiency in English language and numeracy.
  • Recent administration experience, to include working with data which must be processed accurately.
  • Excellent IT skills, with demonstrable experience of using Microsoft Word, Excel and Outlook.
  • Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels.
  • Ability to manage and prioritise a busy workload while adhering to deadlines.
  • Ability to work on your own initiative as well as part of a team.
  • Ability to maintain confidentiality at all times.
  • Strong attention to detail ensuring high levels of accuracy.
Main Duties and Responsibilities
  • To work collaboratively to provide comprehensive and professional placement support.
  • To liaise extensively with external placement providers both orally and in written communication to secure placements within required timescales.
  • To schedule and plan for placements for the year ahead and future placements.
  • To make proficient use of the management information system to allocate, record and monitor student placements and tutor and external assessors' visits.
  • To alert line managers or other relevant staff to any student/placement provider difficulties.
  • To ensure all placements are in line with quality assurance requirements, placement marks and reports are received.
  • To provide guidance or informal training on internal processes.
  • To provide guidance in relation to their placement.
  • To support student communications relevant to placement via email, student surveys and the management information system in relation to their placement preferences and travel.
  • To ensure all student and external placement providers' details are up-to-date and all other relevant documentation, such as insurance, recorded appropriately.
  • To liaise with placement software providers to address any system issues, updates as required.
  • To routinely report on placement data and provide management information reports as required.
  • To routinely engage with other College teams and relevant Academic staff on matters relating to student placements.
  • To provide a comprehensive administrative service to the Head of Programme and Programme tutors to ensure the development and delivery of the doctoral programme.
  • To service meetings of all relevant committees, to include Board of Examiners and Student Voice as requested, including preparation of agendas, minute taking, organising hospitality and distribution of paper and information to members for the Doctoral Programme and other academic Programmes, as necessary.
