POSITION TITLE: REGULATORY AND PRODUCT COMPLIANCE SPECIALIST

POSITION OBJECTIVE
The Regulatory & Product Compliance Specialist plays a key role in ensuring both the regulatory compliance and operational efficiency of Goldfield & Banks’ global product portfolio — including perfumes, home collection, derivatives, and GWP items. This position acts as the operational expert for implementing new cosmetic laws and regulations, coordinating regulatory documentation. The role requires a proactive, detail-oriented professional who can translate regulatory requirements into actionable operational processes.
REPORTING STRUCTURE
This position will report directly to the Operation Manager and ultimately the Chief of Operations. No subordinates report directly to this position.
The candidate will work closely with both internal (New Product Development, Marketing, Supply Chain, Production, Quality, and International Distribution teams) and external (Regulatory consultants, manufacturing partners, authorities, and packaging suppliers) stakeholders.
PRINCIPAL DUTIES
- Regulatory Compliance
- Ensure global regulatory compliance across all product categories (perfumes, home line, derivatives, GWPs).
- Maintain and update all regulatory documents (DIP, SDS, regulatory tests, Responsible Person, etc.) following product or supplier changes.
- Update formulas and documentation according to latest standards (e.g., IFRA 52, extended allergen lists, CMR, SCCS).
- Review and validate all packaging artworks and ensure conformity with regulatory obligations (IFRA / IOFI Labelling Manual 2024, hazard classification).
- Oversee registration and compliance processes, including MOCRA (USA), EPR (Denmark), CITEO (France), and relevant Spanish and Middle Eastern regulations (e.g., CBL).
- Manage membership and communication with regulatory bodies such as COSMED or FEBEA.
- Monitor and apply environmental and sustainability regulations (EURD, eco‑responsibility initiatives).
- Assist the Operations Manager for the implementation of CSR and eco‑design practices in packaging and production processes.
- Coordinate and supervise collaboration with local and/or international regulatory consultants, ensuring consistency of submissions, documentation, and interpretations across regions. Evaluate and select regulatory agencies or service providers as needed.
- Regulatory Projects and Notifications
- Prepare and coordinate product documentation for cosmetic notifications and market registrations.
- Support submission of product notifications to authorities or online portals and track their progress.
- Manage internal databases for product registrations, approvals, and documentation.
- Conduct preliminary reviews of marketing claims to ensure compliance with authority guidelines.
- Act as key point of contact for operational questions related to cosmetic and perfume regulations.
- Lead and deliver regulatory projects on time and in compliance with applicable laws.
- Regulatory Monitoring
- Proactively monitor international regulatory developments in the perfume and cosmetics industry.
- Evaluate new regulations, assess business impact, and recommend action plans to internal stakeholders.
- Communicate updates and train relevant teams to ensure consistent understanding and compliance.
KEY SKILLS & EXPERIENCE
- 1. Education: Degree in chemistry, cosmetology, toxicology or scientific equivalent.
- 2. Experience: Minimum 2 years in regulatory affairs or compliance, ideally within the perfume or cosmetics industry.
- 3. Technical Knowledge: Strong understanding of export regulatory frameworks, product registrations, and cosmetic labeling requirements. Solid knowledge of EU, IFRA, Reach/CLP, CPNP, SCPN regulations.
- 4. Skills: Excellent communication and teamwork skills, capacity for close follow up, excellent attention to detail, strong organizational abilities, ability to manage multiple projects and deadlines simultaneously, proficient in Excel and comfortable with data tracking tools, excellent written and verbal communication skills.
- 5. Languages: Fluent in French and English (written and spoken).
