Position Overview

We are seeking a highly organized and proactive Personal Assistant / Operations Support professional to join our dynamic, high-paced and high-demand team. This role plays a vital part in supporting diverse business functions such as marketing, CRM management, recruiting, client communications, administrative operations, and first-level technical support.

A key focus of this position is leveraging creative tools—especially Canva—to develop engaging presentations and videos that communicate ideas clearly and professionally. Familiarity with Canva’s full suite of design features, along with proficiency in Photoshop and video editing, will be essential for success in this role.

The successful candidate will collaborate closely with leadership and cross-functional teams, using platforms like Confluence, Jira, and ChatGPT to streamline workflows, enhance communication, and improve operational efficiencies. Attention to detail and adherence to processes is a must to ensure accuracy and consistency across all tasks and deliverables. While full proficiency with all tools is not expected from day one, the ability and motivation to self-learn through online resources is crucial.

This position offers flexible working hours, with compensation aligned to experience and skill level.

Key Responsibilities

  • Design and create visually compelling presentations, social media graphics, and marketing videos primarily using Canva—maximizing its templates, animation, and collaborative features to meet business needs.
  • Apply Photoshop skills to enhance images and design assets used across internal and external communications.
  • Edit and produce short videos that support marketing campaigns, client presentations, and training materials, ensuring a polished and consistent brand experience.
  • Maintain and update social media calendars, assist with post scheduling, and research trends to inform creative content development.
  • Manage and cleanse CRM data within HubSpot to ensure accuracy and support marketing and sales efforts.
  • Support lead generation activities including LinkedIn outreach and tracking engagement.
  • Assist recruiting by managing job postings, interview scheduling, and onboarding documentation.
  • Facilitate clear, timely communication between clients and internal teams.
  • Perform administrative functions such as form completion, vendor research, invoicing support, and timesheet tracking.
  • Coordinate scheduling, resolve conflicts, and provide light phone support as needed.
  • Source and qualify vendors, freelancers, and consultants for creative and operational projects.
  • Utilize ChatGPT to aid in content creation, process documentation, and communication standardization.
  • Review Zoom transcripts to identify actionable tasks and create Jira tickets for team follow-up.
  • Monitor support desk channels, respond to routine inquiries, and elevate issues appropriately.
  • Maintain Standard Operating Procedures (SOPs), FAQs, and workflows within Confluence and Jira.
Requirements
  • Familiarity with Confluence and Jira is preferred; willingness to learn is essential.
  • Basic knowledge or eagerness to learn HubSpot, Apollo, LinkedIn outreach, and social media scheduling tools.
  • Strong organizational and communication skills.
  • Comfortable using AI tools such as ChatGPT for research, content creation, and process improvement.
  • Ability to work independently, prioritize tasks, and troubleshoot issues.
  • Willingness to learn through online tutorials, articles, and hands-on experience.
  • Detail-oriented with strong documentation skills.
  • Experience in client or first-level support is a plus but not required.
