Responsibilities
- Staff Administration Service and ESA Payroll
- Preparation of employment contracts following successful application
- Hiring support (i.e., payroll insertion) of new staff
- Contract and position administration during the entire employment period, e.g., contract extensions, reassignments to new positions
- Ad-hoc and periodic verification of entitlements, including complex cases of allowances not handled automatically by IT systems
- Payroll inputs for salary and allowances; calculation of ad-hoc payments (e.g., untaken leave)
- Systematic monthly payroll verification to satisfy external auditors
- Setting up and maintaining ex-ante and ex-post payroll verifications with a focus on ESA-wide payroll operations
- Assisting the Head of Service in interfacing with the external service provider for outsourced parts of the ESA payroll
- Time and leave management
- Analytics, Efficiency and Digitalization
- Using SAP SuccessFactors reporting module (Report Stories / SAP Analytics Cloud and Canvas) to generate real-time analyses for the Division\'s management
- Producing detailed requirements for IT submissions to further digitalise processes using SAP SuccessFactors and following up on related IT projects
- Contributing to the Division\'s digitalization and efficiency strategy by conducting structured operational process feedback sessions and elaborating concrete, actionable improvements
- Recruitment Support Service
- Standardized communication with potential applicants ESA-wide, mainly via mailbox
- Preparation and publication of Job Requisitions using SAP SuccessFactors
- Initial screening of applications according to formal criteria (e.g., gender, nationality, education level)
- Arranging online job interviews and coordinating follow-up with interview boards
- Managing candidates via SAP SuccessFactors candidate pipeline from application to hiring
- Specific communication with candidates
- Arranging pre-recruitment security checks for selected candidates
- Engaging third-party services (e.g., relocation/housing providers) as needed
- On-boarding
- Basic HR-related on-boarding of new hires
Qualifications and relevant experience
- Minimum Bachelor\'s degree, ideally in Business or Public Administration, Information Technology, Applied Economics, or a related field
- Strong payroll background with in-depth exposure to payroll operations, preferably in an international context
- Very good knowledge and experience with SAP SuccessFactors (Employee Central and Recruiting modules); formal SAP certification is a plus
- After gaining sufficient daily-task experience, telework up to a maximum of 30% of the time may be possible for the relevant site area
- Fluency in English and French is mandatory; knowledge of another European language is an advantage
