A global leader in shipping and logistics is seeking an experienced executive assistant in Marseilles. The role involves managing the VP’s agenda, organizing meetings, and facilitating business trips. Candidates should hold a degree and have 10+ years of experience, with fluency in English and proficiency in Microsoft Office. Responsabilités

  • Manage the VP’s complex and evolving agenda.
  • Organize and prepare meetings including minutes and notes.
  • Draft and format files, presentations, and correspondence.
  • Coordinate national and international business trips.
  • Serve as an interface between the VP and stakeholders.

Reporting directly to the Shipping Lines Vice President, you will act as a key liaison between him and various internal and external stakeholders, both in France and internationally.

WHAT WILL YOU DO ?
  • Manage the VP’s complex and evolving agenda and priorities in an international environment.
  • Organize, coordinate, and prepare meetings: invitations, agendas, supporting documents, minutes, and summary notes (in English and French).
  • Draft, design, and format files, presentations, reports, and correspondence.
  • Organize national and international business trips: coordination with local contacts, preparation of logistics, itineraries, and all necessary documentation.
  • Anticipate needs to ensure smooth and flawless planning of all travel and related business activities.
  • Serve as an interface between the VP and internal/external stakeholders, ensuring efficient communication and professional representation.
  • Attend certain meetings and produce clear and concise reports or action notes.
WHO ARE WE LOOKING FOR ?
  • Degree holder with a minimum of 10 years’ experience in a similar role.

  • Excellent command of IT and Microsoft Office tools.
  • Highly organized, reliable, proactive, and able to work independently.
