Job Title: Executive Assistant to the President

Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the President of a fast-growing tax advisory firm. The Executive Assistant will act as a trusted partner, enabling the President to focus on strategic initiatives, client relationships, and the overall growth of the company. The ideal candidate is tech-savvy, resourceful, an excellent communicator, and comfortable operating in a fast-paced, confidential, and high-performance environment.

Key Responsibilities:

  • Executive Support & Calendar Management
    • Manage and maintain the President's complex calendar, scheduling appointments, meetings, and conferences with internal teams, clients, and external partners.
    • Proactively anticipate scheduling conflicts and logistical challenges, offering solutions and re-prioritizing as needed.
    • Ensure the President is well-prepared for all engagements by providing necessary documents, briefings, and background information in advance.
  • Communication & Correspondence
    • Serve as the primary point of contact and gatekeeper for the President, screening and prioritizing incoming communication, emails, and correspondence.
    • Draft, edit, and proofread high-level communications, presentations, reports, and internal memos on behalf of the President, ensuring accuracy and professional tone.
    • Handle confidential and sensitive information with the utmost discretion and integrity.
  • Meeting & Event Coordination
    • Coordinate all aspects of internal and external meetings, including scheduling, venue booking (virtual or in-person), technology setup, catering, and material preparation.
    • Attend meetings as required to take detailed minutes, track action items, and ensure timely follow-up.
    • Assist with the planning and execution of company events, client appreciation gatherings, and industry conferences.
  • Travel Management
    • Arrange comprehensive domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa requirements.
    • Prepare detailed travel expense reports and ensure timely reconciliation.
  • Project & Administrative Support
    • Assist the President with special projects and initiatives, conducting research, compiling data, and preparing summaries.
    • Maintain organized digital filing systems for critical documents and records.
    • Process invoices, expense reports, and other financial documentation for the President's office.
  • Client & Stakeholder Relations
    • Interact professionally and courteously with high-net-worth clients, business partners, and industry contacts.
    • Facilitate smooth communication and build positive relationships on behalf of the President.

Required Qualifications

● Proven experience as a Personal Assistant, Executive Assistant, or similar support role (experience in a finance or professional services firm is a plus)

● Advanced proficiency with Google Workspace (Gmail, Calendar, Docs), Zoom, Slack, Notion, and task/project management software

● Meticulous attention to detail and ability to manage multiple complex tasks simultaneously.

● Exceptional English language written and verbal communication skills

● Ability to work independently, prioritize effectively, and anticipate needs

● Ability to handle highly sensitive and confidential information with absolute integrity

● Thrive in a fast-paced environment and adapt to changing priorities

Preferred Qualifications

● Experience supporting a C-suite executive

● Familiarity with tax, finance, or professional services industries

● Strong critical thinking and problem-solving skills
