CHIEF OF STAFF / PROPERTY MANAGER POSITION

The apartment is located in Paris. It is privately owned. The family is very nice and respectful, willing to find a candidate on a long-term basis for this new role. They vary their properties in Europe. You will primarily be based in Paris and may be asked to visit other sites and meet current teams. This is a LIVE OUT position.

The project

We are looking for an Experienced Executive Chief of Staff / Property Manager to start at the beginning of October, if possible. The owners will conduct a proper recruitment process to find the suitable candidate.

For this role, you will be the beating heart of the family’s organization, coordinating various elements and uniting them into a cohesive whole. You will be the vital link between Executives and Villa Managers, attending meetings on behalf of the owner/family, and you will act as an executive decision-maker with knowledge of operations such as housekeeping, service, and laundry. You must have excellent managerial skills to supervise several teams for each property and act as a right-hand person as a Personal Assistant on top of Chief of Staff duties.

This senior-level position requires versatility and resilience, with proven experience working with ultra-high net worth individuals (UHNWI). Responsibilities include managing a large real estate portfolio, coordinating a team of household staff, and managing payroll in several jurisdictions. A thorough knowledge of the French administrative and tax system and fluency in French are essential. You will be supported by the family office and their accountants and lawyers.

You should be well-organized and capable of cross-managing to establish legitimacy as a manager and to build strong team relationships. You will liaise with the family calendar and summarize it for Villa Managers based on principal attendance in Paris or other properties. As Chief of Staff / Property Manager, you will be the main contact between the team, Villa Managers, and the Principals, reporting directly to the family and the family office. You will communicate with Villa Managers and supervise operational activities. You should understand the principals’ habits and standards, be detail-oriented, and demonstrate strong interpersonal and emotional intelligence. A proactive mindset is essential, with the ability to anticipate needs and convey this to the team.

Responsibilities & Duties: Property Management

  • Supervision of several apartments and a private mansion in Paris, and properties across Europe.
  • Construction/renovation site supervision and ongoing maintenance planning (preventative and daily maintenance).
  • Liaising with external subcontractors, monitoring contracts, quotes, service & maintenance, and invoicing/payments.
  • Participating in co-ownership meetings as an official representative.

Accounting & Financial Management

  • Checking invoices and processing payments.
  • Cash flow monitoring and banking relationships.
  • Budgeting and day-to-day accounting management.
  • Managing contracts (energy, insurance, etc.).
  • Payroll management (CESU, PARTENA, TPEE) for 11 employees via the dedicated tool.
  • Reviewing expense reports and processing reimbursements.

Human Resources

  • Liaising with Villa Managers regarding workload and staff needs.
  • Organizing weekly meetings with each property team.
  • Collaboration with employment and recruitment agencies.
  • Leading recruitment processes: interviews, reference checks, contract drafting – final validation with Principals.
  • Organizing staff trainings based on feedback from Villa Managers.
  • Managing holidays/absences and staff scheduling across properties.

Schedule Management

  • Updating the family calendar and communicating schedules to the appropriate teams.
  • Coordinating attendance and logistics related to children.

Travel Planning

  • Booking flights and travel arrangements (cars, taxis, or other transport).
  • Booking accommodations and cross-checking dates for family members.
  • Organizing itineraries, managing visas and essential documents.
  • Coordinating with service providers.

Administrative Support

  • Managing professional correspondences.
  • Managing invitations and calendar (meetings, events).
  • Drafting letters and documents.
  • Managing subscriptions and communication tools (video calls).
  • Responding to invitations, sending cards and flowers after events, and keeping the family agenda updated.

As Executive Chief of Staff / General Property Manager, you will manage Villa Managers and gather information from each property while delegating responsibly. The principals will introduce you as the general manager; you should be collaborative, not bossy, and work discreetly from your office. You will supervise and maintain the Paris apartment and conduct regular inspections to ensure quality standards are met, coordinating with on-site staff and Villa Managers as needed.

You will ensure smooth coordination of schedules and arrivals with Villa Managers in advance.

Desired profile

  • Autonomous with the ability to report to and respect hierarchy; you take initiative and are highly responsive.
  • Strong leadership and excellent interpersonal skills; diplomatic, emotionally intelligent, and able to adapt communication to different audiences.
  • Passion for service, especially in private households; experience in private households is preferred.
  • Experience in private households for UHNWI is preferred.
  • Strong administrative, management, and management-control capabilities with organized, rigorous multitasking and discretion.
  • Strong accounting understanding or skills are a plus.
  • Proven hard skills and strong soft skills; able to elevate the team and communicate effectively; strong leadership is valued.
  • Multitasking, flexible, and able to follow or implement processes; proactive in unusual situations.
  • Positive, discreet, trustworthy, and confidentiality-oriented; strong relationships and communication.
  • Organized and able to prioritize tasks; stress-resistant and punctual with a professional appearance.
  • Fluent in French and English; Spanish is a plus.
  • Driving license is mandatory; own car is required.
  • Clean criminal record and references required.

Salaray : 2500 euros net per month

À propos de la villa (Villefranche)

La villa est située à Villefranche et est utilisée par les propriétaires et leurs invités, principalement en été. Elle est privée et ne se loue pas. Surface environ 800 m2. Vous serez chargé du service des repas et de la lessive/linge; le travail est en rotation avec l’équipe.

L’équipe comprend un Villa Manager, une Gouvernante Générale, deux Housekeepers et un Chef; des hommes/factotum complètent l’équipe à l’extérieur. Des missions de housekeeping peuvent être demandées occasionnellement.

Tous les postes sont non logés.

Le projet (français)

Nous recherchons une femme de ménage prête à commencer début avril 2023 jusqu’à fin octobre 2023, pour une villa privée de 800 m2 à Villefranche. Le poste comprend ménage, service et linge, avec rotation avec l’équipe. L’équipe compte un Villa Manager, une Gouvernante Générale, une Housekeeper et un Chef; des factotums à l’extérieur. Le service est assuré par le personnel dédié en complément de vos tâches.

Vous assurerez le ménage et le linge et suivrez les procédures prévues; vous devez:

  • s’occuper des tâches liées à la blanchisserie et du linge de la famille
  • laver, nettoyer, sécher et repasser le linge et les vêtements
  • nettoyer les armoires et dressings et ranger le linge
  • entretenir les vêtements et linges et contacter les pressing si nécessaire
  • assurer le ménage des chambres, salles de bains et pièces de vie selon les habitudes des propriétaires

Profil recherché (français)

  • Autonome, capable de rendre compte et de respecter la hiérarchie
  • Passionné par le service et l’hôtellerie privée; expérience souhaitée en tant que femme de ménage/femme de chambre
  • Expérience en hôtellerie/restauration souhaitée
  • À l’aise dans le ménage, le service et la blanchisserie; polyvalent et flexible
  • Bonne communication, discrétion et esprit d’équipe
  • Parler anglais est indispensable; le français est un plus
  • Voiture et permis de conduire obligatoires
