A leading global flavors and fragrances company in Paris is seeking an experienced Executive Assistant to support the Executive Team. The ideal candidate will manage complex calendars, travel arrangements, and provide comprehensive administrative support. Candidates should have at least 3 years of relevant experience, strong communication skills, and proficiency in MS Office. It's an exciting time of growth for IFF, we’re inviting a dedicated and results driven individual to join us as Executive Assistant. The Executive Assistant will provide secretarial and administrative support for “Executive Team (EC).”
As Executive Assistant, you will handle complex meeting agenda and calendar management of ______. In addition, you will manage the travel arrangements and reporting of travel expenses in compliance with Global policy.
Apart from secretarial administration there would be opportunities for you to be involved in event management of team meetings. These team meetings comprise of onsite, offsite or remote meetings for either Regional or Global Functional Leaders. Employee engagement initiatives support, coordination of special events and follow through on office operation related matters are also key accountabilities of this role.
The Executive Assistant will coordinate with cross functional leaders or managers and other EAs for data information, cascading of information and other ad‑hoc administrative matters or requests, which includes but is not limited to reception duties, Visa invitation, orientation planning, researching, events support and travel coordination.
To be successful in this role, you should have at least 3 years’ secretarial and administrative support experience for Senior Executive Committee or VP level.
You should have a proven track record in calendar management, complex travel arrangements, hotel and flight bookings, VISA applications, expenses reimbursement and events planning or coordination.
You should possess either a Diploma or Bachelor Degree in Business Administration or any other relevant discipline from a reputable institute. You should be well-versed in MS Office and SAP PR; any other software application skills will be a plus.
A fast and efficient team player, you are detail oriented, dependable, with the ability to anticipate the needs of your manager or other functional leaders. You have quick learning capability, a willingness to take on challenges, and have no issues going the extra mile or attending to urgent assigned tasks.
Well presented with good articulation skills you should have excellent command of English; proficiency in any other language will be an added advantage.
