At Cosmo International Fragrances, we combine heritage and innovation to create captivating fragrances. We are looking for an ACCOUNT AND OFFICE COORDINATOR to join our Paris-based team (15 people).

In this role, you will support the sales team by coordinating customer projects and ensuring the smooth execution of fragrance projects from start to finish. You will manage administrative tasks, update internal tools, and maintain client communication.

As an Office Manager, you will streamline processes to enhance employee experience and ensure the efficient operation of our Paris office.

What You’ll Do :
  • Provide administrative support to the sales team.
  • Act as the primary liaison between customers and internal teams to ensure clear communication and customer satisfaction.
  • Collaborate with cross-functional teams (fragrance development, laboratories, regulatory, supply chain, logistics) to ensure the project execution.
  • Enter new fragrance projects into the project management tool to track all relevant details for seamless coordination across departments.
  • Update and maintain customer databases and sales records in internal tools.
  • Track and report on sales forecasts with customers.
  • Ensure the timely and accurate shipping of fragrance samples to customers, tracking all shipments and coordinating with logistics teams.
Office Management (25%)
  • Interface and follow up with our external partner for orders, invoices for follow up.
  • Customer reception.
  • HR support.
Who You Are :
  • You have 2 to 5 years of experience in Luxury, ideally in our sector.
  • Level BTS (ie Management des Unités Commerciales) or BUT (Techniques de Commercialisation).
  • You have experience of running small structures.
  • Organisation, adaptability, priority and emergency management characterize the way you operate.
  • You are known for your interpersonal skills, willigness to help, discretion and polyvalence.
  • You are used to speak and write in English in our day to day.
