Inventory and Warehouse Management Specialist

This role is responsible for overseeing the daily operations of the warehouse and inventory systems. This role ensures efficient management of stock levels, timely inventory tracking, proper organization of warehouse storage, and smooth order fulfillment. The specialist plays a key role in optimizing warehouse operations to reduce costs, minimize stockouts or excess inventory, and ensure timely delivery of goods to internal or external customers.
Duties and responsibilities
- Track inventory levels in real-time, ensuring stock levels are maintained in alignment with business needs while avoiding overstocking or stockouts.
- Conduct regular cycle counts and full physical inventory counts to verify stock accuracy.
- Monitor and maintain inventory records in the warehouse management system (WMS) or Enterprise Resource Planning (ERP) system.
- Ensure proper documentation for all incoming and outgoing shipments, maintaining accurate logs of inventory transactions.
- Identify discrepancies between physical counts and system data and investigate causes of discrepancies.
- Ensure timely receiving, inspection and storage of deliveries from suppliers.
- Check the delivered items against Purchase Order (PO) and Delivery Receipt (DR) or Invoice.
- Advise the end user/inspector for the conduct of inspection.
- Generate and print Inspection Receiving Report (IRR) via ERP for conforming items and receipt of complete supporting documents.
- Coordinate return of non-conforming items to Buyer using the Supplier Return Form (Non-Conformance Report) as documentation.
- Ensure goods are stored in compliance with safety, quality, and regulatory standards.
- Implement inventory organization strategies such as bin locations, labeling, and stock rotation (e.g., FIFO - First In, First Out).
- Comply with company policies and procedures, safety rules and practices.
- Conform to the company’s Integrated Management Systems policies, standards, procedures and guidelines.
- Report Integrated Management System events/incidents or potential events or other risks to the organization.
- Perform any other related duties and responsibilities that may be assigned from time to time by immediate superior consistent with the purpose of this role.
- Bachelor’s Degree in Supply Chain / Business course or a related field.
- Have Inventory Management and Warehouse Experience.
- At least 2 years of Relevant Experience.
- Inventory Management and Warehouse background is preferred.
