Reporting relationship: This position reports to the Executive Director.

Hours of work: full-time (5 days/week) generally 9am-5pm and one hour for lunch. Some evenings and weekends.

Contract duration: Permanent starting September 1, 2025 (date flexible) (subject to a three-month probationary period)

About Romero House:

Romero House is a community of welcome for newly arrived refugee claimants in Toronto. We are a charitable organisation offering transitional housing and immigration and settlement support in the spirit of good neighbours, valuing dignity, mutuality, and care. We are a diverse community where all are welcome. Romero House is unique in that we are not only a housing and settlement service provider but an intentional community (some of our staff and volunteers live in our housing) very connected to our neighbourhood and each other.

Job purpose:

The Communications Coordinator supports the mission of Romero House by strengthening relationships with community members, partners, and donors through compelling communications and meaningful engagement. This role is responsible for overseeing primarily external communications—including newsletters, social media, digital content, and donor relations—as well as building partnerships with local institutions and doing some public education. Working closely with the Executive Director and other staff, the Coordinator ensures Romero House’s message is consistent, impactful, and rooted in our values.

Duties and responsibilities:

  • Identify main stakeholder groups and audiences (service user, former service users, donors, supporters, volunteers, neighbours, etc), determine the best way to communicate with them, and develop and implement a communication plan

  • Develop and maintain social media accounts, including responding to messages and comments

  • Manage our organization’s general email inbox

  • Develop and distribute a regular email newsletter and occasional print newsletter

  • Maintain organization’s internet and intranet sites

  • Produce and distribute annual report (curating and editing content, formating, printing and mailing)

  • Prepare and produce brochures, presentations, business cards, and other material

  • Maintain the organization’s image and identity, which includes the use of logos and signage

  • Write and send digital and printed thank you notes to donors and assist with other donor appreciation activities

  • Maintain contact information in our Donor Management System (CanadaHelps DMS) and in our email marketing system (MailChimp)

  • Assist the Executive Director with grant applications including monitoring grant application deadlines, updating previous applications, submitting applications, and sending reports to grantors.

  • Maintain our Case for Support to be used by the team as needed, including testimonials

  • Liaise with outside groups and individuals who are doing fundraising events on behalf of Romero House

  • Respond to research requests and, if accepted, liaise with the researcher

  • Build relationships with institutions that support Romero House (schools, churches, neighbourhood groups, etc.) including occasional public speaking

  • Receive offers to fundraise on behalf of Romero House and, if accepted, liaise with fundraisers

Qualifications and Qualities (Required)

  • Proficiency in English

  • Proficiency with digital technologies

  • Ability to manage multiple responsibilities independently and as part of a team

  • A university degree or college diploma in communications, marketing, public relations, journalism, fundraising or comparable work experience

  • Strong problem solving skills and takes initiative

  • Self awareness with respect to power, privilege, and prejudice and tools to promote equity and inclusion

  • A sense of shared humanity and desire to contribute to a more just, caring, and sustainable world

Assets (Helpful but not required)

  • Experience working in diverse communities

  • Experience living at Romero House or being part of the Romero House community

  • Proficiency with Google Workspace, including Google Sheets

  • Proficiency with MailChimp for email marketing

  • Proficiency in WordPress for website design

  • Proficiency in Canva for graphic design

  • Proficiency with ZohoSocial or another social media management tool

  • Experience in a social service environment as an employee, placement student, or volunteer OR experience in relevant educational programs such as social work, social service work, immigration and settlement studies, or psychology

Working conditions

  • Working indoors

  • Working with vulnerable populations including recent migrants, low-income, trauma survivors, non-English speaking

  • Communicating with service users using digital translation tools, volunteer and professional interpreters

  • Hybrid work (combination of office work and work-from-home). Office location: 1558 Bloor Street West, Toronto. Note: The washroom is not wheelchair accessible.

  • Frequent use of email and instant messaging

  • Frequent face-to-face meetings and phone calls

  • Frequent individual work and regular team work

  • Meeting 2-3 times/week as a team for prayer (a place where faith and spirituality are welcome to be expressed and not required)

  • Given that we are a transitional shelter, successful candidate must have up to date immunizations as recommended by Toronto Public Health (accommodations will be provided as required by the Ontario Human Rights Code)

  • Some travel may be required

Compensation

  • $50,000 gross annual salary

  • $2,000 Health Spending Account

  • Employee Assistance Program

  • Up to $50/month cell phone reimbursement

  • 3 weeks of paid vacation plus closure between December 25 and January 1
