Position Status: Full-time (40 hours/week), Permanent

The Otipemisiwak Métis Government is recruiting for a full-time Métis Justice Intake Coordinator to join the Justice Department. Reporting to the Justice Manager, the successful candidate will be the first point of contact for the Department and will be responsible for assisting with the development, coordination, and implementation of justice programs and services for Métis Albertans. The successful candidate will be a motivated, confident and driven individual who is passionate about justice and has excellent interpersonal skills with the ability to connect with people.

Key Responsibilities

  • Act as the first point of contact for Métis Albertans seeking resource and navigation supports relating to the justice system.
  • Field multiple calls per day and respond to general email inquiries.
  • Provide initial analysis of individuals needs and situation.
  • Coordinate support, services, and referrals to appropriate internal programs.
  • Ensure tracking systems and database entries related to day-to-day supports are up to date and accurate.
  • Assist in Métis Justice specific program planning, design, development, and implementation.
  • Develop and implement culturally sensitive surveys.
  • Assist with justice related community engagement events and activities, including in-person presentations and discussions, and online engagements.
  • Report and analyze feedback and recommendations from community engagements.
  • Coordinate department team travel, including hotel reservations and transportation bookings.
  • Support the scheduling, preparation, set-up, and take-down of both in-person and virtual meetings and conferences, including booking venues, arranging catering services, and setting up audio-visual equipment.
  • Draft internal and external correspondence including, but not limited to, meeting agendas, legal documents, letters, reports, briefings, and meeting minutes.
  • Review documents, reports, invoices, and correspondence prepared for Executive signatures, ensuring accuracy prior to distribution.
  • Perform administrative functions such as preparing correspondence, arranging conference calls, and scheduling meetings.
  • Support logistical coordination and procurement of materials and supplies for meetings, events, and general office use.
  • Follow finance management procedures for processing purchase orders (PO’s), creating cheque requisitions, and processing expense claims.
  • Assist with administration of Otipemisiwak Métis Government events, programs, and justice initiatives.
  • Attend and represent the Otipemisiwak Métis Government at professional conferences, in-service trainings and meetings.
  • Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
  • Other duties as required or assigned.

Skills & Competencies

  • Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values is an asset.
  • Knowledge of the Canadian Justice System and justice issues impacting Indigenous peoples
  • Ability to produce professional documents, reports, and presentations
  • Ability to build collaborative, positive relationships with a variety of internal and external stakeholders, including clients, community members, senior leadership, and Otipemisiwak Métis Government employees.
  • Ability to be empathetic and non-judgmental when assisting Métis Albertans.
  • Must be able to handle situations with tact, diplomacy, and empathy. Ability to be firm and assertive when necessary.
  • Culturally sensitive, compassionate, and trustworthy.
  • Strong interpersonal, verbal, and written communication skills.
  • Strong administrative, organizational and time management skills, with the ability to be flexible, adapt to changing priorities/requirements, and allocate time and resources effectively.
  • Ability to work independently and in a team environment.
  • Political sensitivity and an ability to maintain confidentiality when handling sensitive information.
  • Ability to identify issues and implement creative and strategic solutions to overcome problems.
  • Sound analytical thinking, planning, prioritization, and execution skills.
  • Ability to maintain filing systems, databases, and tracking processes.
  • Proficient with Microsoft Office (Word, Excel, and SharePoint).

Qualifications

  • Post-secondary education in Human Services and/or a related field such as Social Services is an asset.
  • Minimum of one-year administrative experience, preferably within a government, non-profit, or Indigenous organization.
  • Minimum of one-year of relevant experience in the planning, development, and implementation of applicable programming.
  • An equivalent combination of education and experience may be considered.
  • Experience working with an Indigenous organization and/or Indigenous communities is an asset.
  • Experience working in the Justice field is an asset.
  • Indigenous Awareness Training and training in Trauma-Informed Care is an asset.

Other Requirements

  • Ability to work regular office hours of Monday to Friday, 8:30am to 4:30pm, as well as occasional evenings and weekends.
  • Ability to work in-office in Edmonton, Alberta.
  • Ability to travel throughout Alberta, if given notice.
  • Must have a valid Class 5 driver’s license and an operational vehicle.
  • Vulnerable Sector Police Information Check and Child Intervention Check will be required.
