Overview

Position: Permanent, full-time, non-unionized professional. Hours of work: Monday to Friday, 9 am to 5 pm. Language of work: English. Location: Toronto campus – 306 Lawrence Avenue East, Toronto, Ontario, M4N 1T7. Dates: Immediately.

Reporting to the Director of Development, the coordinator will help provide administrative support and coordinate projects and initiatives for TFS’s $40 million capital campaign. The coordinator will work closely with TFS Foundation / Advancement colleagues and others throughout the TFS community, including staff and senior volunteers to support campaign activities, including events, special projects and initiatives, and stewardship & recognition programs.

Responsibilities
  • Campaign Support & Strategy: Collaborate closely with the Director of Development, and President of the TFS Foundation / Executive Director of Advancement to support the successful execution of fundraising programs; coordinate and prepare campaign-related materials including tracking reports, proposals, briefing notes, and gift documentation; maintain and monitor the donor pipeline and moves management activities in Raiser’s Edge NXT, ensuring prospect stages are current and accurate; provide administrative and strategic support for cultivation, solicitation, and stewardship meetings involving campaign leadership and volunteers; liaise with donors and campaign volunteers, responding to inquiries and supporting a positive and professional donor experience.
  • Donor Stewardship, Recognition & Gift Processing: Coordinate the execution of the Foundation’s donor recognition and plaquing program, including updates to the Donor wall and Alumni of Distinction wall; manage vendor communications, timelines, and logistics to ensure accurate, high-quality, and timely installations; prepare customized gift agreements and documentation in coordination with the Development team; manage the donor thank-you and stewardship process, including letters, tokens of appreciation, and engagement follow-ups; process and acknowledge gifts in Raiser’s Edge NXT with accuracy and timeliness.
  • Prospect Research & Strategic Support: Conduct and compile comprehensive donor and prospect research to support cultivation and solicitation strategies; prepare detailed donor profiles and briefings for senior leadership and fundraising staff; assist in the development of a robust prospect pipeline through data analysis and collaborative planning.
  • Event & Program Leadership: Plan and execute donor and campaign-related events from concept to completion, ensuring excellence in execution and follow-through; provide support for the New Parent Breakfast Program, including developing briefing notes and scheduling of parents; manage event logistics including invitations, RSVPs, materials, budgets, and reporting; track all event interactions and donor engagement in Raiser’s Edge.
  • Data & Operational Support: Ensure the accuracy and integrity of donor records in RE / NXT and support regular data quality reviews; generate reports to support internal planning and donor cultivation strategies; support the Advancement Services and Operations Manager to reconcile gift records, track campaign pledges, and process related payments and expenses.
  • Cross-Functional & Administrative Collaboration: Work closely with colleagues across the Office of Advancement and school to ensure cohesive execution of fundraising initiatives; support the President and Foundation / Advancement leadership with administrative tasks related to donor engagement and campaign activity; contribute to a collaborative, mission-driven team culture with a shared focus on relationship-building and results; participate on department-wide cross-functional teams when required; the School may, from time to time, alter these duties and / or assign additional duties and responsibilities at its sole discretion.
Qualifications
  • Education: Graduate of a post-secondary program, ideally in communications, fundraising, or management.
  • Skills & Experience: Previous experience working in an office environment; demonstrated ability to work effectively and communicate with a wide range of stakeholders, including donors, volunteers, sponsors, and staff; strong writing, proofreading, and editing skills, with experience developing and producing communication materials; project management and organizational abilities with a proven track record of meeting deadlines and coordinating multiple projects simultaneously; excellent interpersonal skills and a collaborative working style; demonstrated ability to exercise tact, discretion, and sound judgment; proficiency with Microsoft Office Suite, Google Suite, and Adobe; experience with Raiser’s Edge or other fundraising databases is an asset; exceptional written and verbal communication skills in English; proficiency in French and / or Mandarin is considered an asset.
