What You’ll Do
  • Assign and schedule technicians for all work orders.
  • Monitor technician time on work orders and flag issues to the Service Foreperson.
  • Coordinate two-person job requests with the Service Foreperson.
  • Track technician travel time and raise any issues to the Service Foreperson.
  • Collaborate with the Service Foreperson to ensure technicians complete work orders with all information required for invoicing and submission.
  • Ensure preventative maintenance (PM) work is completed within the allotted time and, where possible, in a single visit.
  • Track required follow-ups, ensure parts are ordered promptly, and dispatch technicians to complete open work orders efficiently.
  • Build and maintain the on-call schedule with the Service Foreperson.
  • Submit quotes and proposals through the Officetrax Vendor Portal.
  • Manage work order close-out and invoice creation.
  • Submit DNE (Do Not Exceed) increase requests through the Officetrax Vendor Portal.
Additional Responsibilities
  • Schedule and dispatch technicians to service calls.
  • Manage on‑call schedules and vacation calendars.
  • Review work orders, purchase orders, and invoices for completeness and accuracy; create invoices and follow up as required.
  • Review and follow up on expense reports to ensure compliance.
  • Verify refrigerant information and leak reports for accuracy and completeness; ensure all losses are reported as mandated by provincial guidelines.
  • Assist with parts procurement and material sourcing for managers and technicians; support proposal preparation.
  • Maintain an accurate and organized filing system.
What You’ll Need
  • 1–2 years of administrative experience (service or trades industry experience an asset).
  • Strong organizational, multitasking, and problem‑solving skills with attention to detail.
  • Ability to work accurately in a fast‑paced, deadline‑driven environment.
  • Excellent customer service and communication skills.
  • Professional demeanor with the ability to interact effectively across all levels of the organization.
  • Ability to work independently while supporting a collaborative team environment.
  • Proficiency in Microsoft Outlook, Excel, and PowerPoint.
