Job Description Overview

Reporting to the Multifamily Sales Manager, you play an integral role in managing the Sales Administration team and function and supporting the Sales Leadership group for Brookfield Residential’s housing division in Alberta. Your team is accountable to support all sales‑related documentation, ensure accuracy of data within all sales systems, actively manage all reporting requirements and facilitate a smooth process internally and externally from lead generation through to closing. As a functional leader, you act as a mentor and coach to the Sales Administration team, ensuring an efficient and accurate flow of sales documentation, management of customer files and support personnel for both internal and external stakeholders. In addition, your role as Sales Lead requires you in partnership with Sales Leadership to set and reinforce best practices, resolve interdepartmental obstacles, leverage internal systems and software and obtain and monitor market data and pricing. You have excellent customer‑experience skills, a drive for efficiency, keen attention to detail and an ability to work collaboratively with a diverse group of individuals. You are a problem solver willing to dive into new challenges to expedite resolutions to support delivering on our business plan, building and supporting a first‑class sales program and ensuring a best‑in‑class customer experience for Brookfield homeowners.

Travel required to Calgary and Edmonton.

Key Deliverables
  • Lead the Sales Administration team, including onboarding, training, hiring, coaching, and performance management.
  • Ensure timely and accurate completion of sales documentation, agreements, pricing, and purchase workflows.
  • Standardize and refine processes to increase productivity, accuracy, and efficiency across all sales admin functions.
  • Partner closely with Sales Leadership to establish best‑practice sales procedures and support consistent execution.
  • Act as the primary contact for Sales teams on purchaser inquiries, inspections, dates, adjustments, and related matters.
  • Maintain and release inventory in Newstar, including lot premiums, product setup, spec creation, and system accuracy.
  • Provide backup support to Sales Coordinators during peak activity or absences.
  • Build strong cross‑functional relationships with Communities, Homes, Accounting, Marketing, Sales, Legal, and other groups.
  • Oversee onboarding, documentation, templates, training materials, and customer‑facing forms used throughout the sale‑to‑possession journey.
  • Liaise with developers, condo boards, IT, and Digital Transformation teams regarding pricing, inventory, documentation, and system updates.
  • Maintain core operational systems as SME for Newstar and Salesforce; drive data accuracy, adoption, and reporting.
  • Generate and analyze monthly reports including cancellations, referral rates, awards tracking, and provincial reporting submissions.
  • Audit website content, sales centres, and promotional materials to ensure alignment with product and pricing.
  • Review or approve late change orders, custom requests, invoices under threshold, and agreement variations.
  • Support competitive intelligence, analyze market pricing / specification data, and deliver insights that influence product, strategy, and sales execution.
What You’ll Bring
  • Minimum 5 years in New Home Residential Homebuilding and passion for real estate.
  • Previous history in customer‑facing role in a business‑to‑consumer organization.
  • Proficiency in computer systems including Word, Excel, Outlook.
  • High system proficiency in Newstar Sales & Salesforce, HubSpot an asset.
  • Experience with the Sales & conveyancing process.
  • Strong communication skills both written and verbal.
  • Exceptionally organized with ability to develop process for others.
  • Strong attention to detail and proven accuracy skills.
