Receptionist (1 month contract) at Ainsworth Inc

This is a temporary contract position with responsibilities centered on reception and general office administration.

Position Summary

Ainsworth is currently looking for a Receptionist to join our Surrey, BC office. This role will perform general office administrative tasks and a diverse range of assignments received from Service, Finance and other departments, directed through the Operations Team & Managers.

Key Responsibilities
  • Greet visitors professionally and warmly at the front desk.
  • Provide superior telephone and email etiquette while receiving and directing calls, messages, and emails with accuracy and efficiency.
  • Coordinate with the answering service to ensure messages are received and forwarded timely and accurately.
  • Assist the Service department with opening service orders, PO matching and vendor reconciliations.
  • Daily matching of P-card costs in JDE.
  • Process daily, weekly and monthly administrative procedures related to general office duties, including interoffice and external mail per company policy.
  • Prepare reports for various departments as required.
  • Perform role in a safe and healthful manner in accordance with Health, Safety and Environmental policies and government regulations.
  • Adhere to the Company’s Quality System operating procedures and attendance policy to ensure front desk coverage.
  • Perform other duties as assigned by Management.
Qualifications
  • High School graduate; post-secondary education preferred.
  • Basic knowledge of accounting systems is an asset.
  • Experience with Great Plains software is an asset.
  • Proficient computer skills (JDE, Excel, Metrix, MS Office, Outlook, Internet, Adobe Acrobat).
  • Strong verbal and written communication skills.
  • Resourceful and proactive in addressing issues.
  • Ability to organize, multitask, prioritize and work under pressure.
  • Experience with multi-line phone systems and the ability to quickly learn new programs and processes.
  • Strong work ethic, positive teamwork attitude, and professional interpersonal skills.
  • Effective verbal and written communication; analytical thinking and attention to detail.
