Schedule: Full-time, Monday–Friday (8–4 or 9–5), with flexibility for 1 remote day per week and comfortable with some irregular hours (real estate doesn’t always follow 9–5)

We’re looking for a Real Estate Administrative Assistant who can balance efficiency, accuracy, and professionalism with warmth and client care.

What You’ll Do
- Manage full-cycle real estate paperwork: listings, contracts, photos, inspections, trades, for-sale signs, and buyer/seller documents.
- Support a team of three real estate agents (approx. 75% of role), plus provide personal assistant support (25%).
- Handle inbox management, scheduling, and client requests with urgency and professionalism.
- Double-check contracts, data, listings, and documents for accuracy (dates, legal wording, measurements).
- Coordinate client care and appreciation initiatives, including two annual events and gift programs.
- Assist with analytics, reporting, and task prioritization—focusing on what drives results.
- Suggest process efficiencies and ensure smooth, well-organized day-to-day operations.
- Support occasional social media and marketing tasks, ensuring brand voice and style are maintained.

- Strong communication skills: clear, professional writing and speaking; tactful and polite with clients, agents, and service providers.
- Organizational & time-management strengths: able to juggle multiple tasks, manage a busy calendar, and set priorities effectively.
- Detail-oriented & accurate: diligent with contracts, dates, and small but important details.
- Tech savvy: confident with MLS systems, CRMs, Mac, Dropbox, scheduling tools, email management, and digital marketing tools.
- Marketing & branding awareness: understands how to present a property, post on social media, or prepare newsletters while maintaining brand voice.
- Client service mindset: warm, professional demeanor; quick to follow up and anticipate client needs.
- Proactive & resourceful: independent, self-starter who finds solutions and doesn’t need constant direction.
- Discretion & trustworthiness: able to handle sensitive information (financials, personal details) with confidentiality.
- Real estate knowledge: familiarity with contracts, titles, and financing basics is an asset.
- Flexibility & resilience: comfortable with changing priorities and occasional evenings/weekends when real estate demands it.
