PROJECT COORDINATOR (BAND LEVEL 5)

Department of Process Engineering, Faculty of Engineering and Applied Science (Contractual Position to March 31, 2026)

The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval. This position is funded through an external grant.

DUTIES

Reporting to the Principal Investigator (PI), the Project Coordinator will support research, learning, and operational activities that take place in an Educational Research Laboratory. Duties include:

  • taking detailed meeting minutes with prioritized action items from weekly meetings and client meetings;
  • updating Gantt charts and project status reports (Word and PowerPoint);
  • creating and editing Teams channels for projects, tasks, and details;
  • keeping Teams tasks up-to-date;
  • transferring action items from meeting minutes to Teams tasks and details;
  • updating the Kanban (whiteboard) daily;
  • providing personnel support (onboarding, leave management, etc.);
  • keeping PI’s curriculum vitae up to date;
  • drafting correspondence for the PI’s signature;
  • planning events;
  • processing travel and hosting claims;
  • scheduling meetings;
  • performing software and computer management (IT service requests, monitoring software licenses, etc.);
  • ordering and managing office and lab supplies inventory;
  • coordinating lab tours (camps, schools, industry visits, etc.);
  • supporting health and safety programs;
  • coordinating lab cleaning;
  • and performing other related duties as required.

Qualifications

Experience (2-3 years) in project coordination; completion of a two-year college diploma in a related field is required; or an equivalent combination of experience and training may be considered. Proficiency in computer skills and in-depth knowledge of relevant software such as MS Office Suite is essential, as is knowledge of standard office administrative practices and procedures. The ideal candidate will have excellent organizational, time management, collaboration, and communication skills. The successful applicant must be able to work independently and in a team environment.

SALARY $53,729 - $63,029 per annum (Non-Bargaining)
