Job description
Overview

The Program Support Coordinator (Limited-Term) develops and manages documentation for the Program and Project Management Offices. This role involves generating periodic reports, reviewing documents, creating and maintaining databases, providing essential support for project delivery, and ensuring all documentation is updated promptly for distribution to internal and external stakeholders.

Note: Due to business needs, this position is required to be fully on-site based at 825 Admirals Road, Victoria, BC. This is a 4-month limited term employment with eligible benefits.

What You'll Do
  • Provides confidential support primarily to the program and project management directors and, secondarily, to the program and project teams.
  • Creates and maintains templates and reports across various programs (e.g., MS Word, Excel, PowerPoint, and BI).
  • Assists with program and project meetings by preparing documents such as presentations, detailed technical minutes, reports, and more.
  • Develops program deliverables, including feasibility and materials reports, and collaborates with other departments to collect essential project data.
  • Reviews and assesses project documentation to ensure it meets contractual and technical standards; when changes are required, coordinates with stakeholders to implement them.
  • Reviews program management plans to identify contractual updates and collaborates with internal stakeholders to implement necessary changes.
  • Processes data using various MS Office programs to support project requirements, ensuring the data is easily understood and presented in accordance with contractual guidelines.
  • Organizes training and assists the program and project management teams in supporting the delivery of programs.
  • Coordinates and executes project activities and key milestone events.
  • Receives Controlled Goods documentation from external stakeholders and requires an ASCO certification for receipt of documents.
  • Carry out any other duties as needed.
What You'll Bring
  • A diploma in a relevant field, preferably Business Administration.
  • At least 4 years of office experience in an industrial or technical setting that demands high security, confidentiality, and organizational skills.
  • Experience with an Enterprise Resource Platform (ERP) is considered an asset.
  • Experience in designing, updating, and managing project data templates and reports.
  • Experience in government contracting is viewed as an advantage.
  • Good judgment and prioritization abilities.
  • Proficient in advanced computer skills including MS Word, SharePoint, Power BI, Excel, PowerPoint, Adobe Standard, and ERP.
  • Strong attention to detail and analytical abilities.
  • Good understanding of record retention standards.
  • Ability to handle numerous priorities within a matrix environment.
  • Ability to influence others and manage expectations.
  • Ability to communicate across different departments and organizational levels.
  • Ability to obtain security clearance for work on government contracts.
  • Capability to manage and safeguard highly sensitive information.

The estimated salary for this position is $73,800 - $90,200. In determining final salary, Seaspan considers many factors including the successful candidate’s skills and experience as well as position location and internal equity. The final base salary offer will be at the company’s sole discretion and presented as part of a competitive total compensation package.
