Position Summary

The Payroll Specialist plays a critical role in our Finance & HR team, ensuring our employees are paid accurately, on time. This role is also responsible for benefits administration, payroll accounting entries, government filings, and will partner closely with HR, Finance to support payroll integrity, data governance and continuous improvement of payroll systems and practices.

Key Responsibilities

Payroll Processing & Compliance

  • Act as the primary payroll lead and supporting cross-border payroll. This including support for U.S. payroll and participation in future system integration initiatives.
  • Upload hours from the time & attendance system; enter adjustments for salaried employees until a new Vacation Management system is in place.
  • Review, validate, and audit payroll prior to submission, ensuring compliance with employment regulations.
  • Prepare quarterly bonus amounts for employees on Excel
  • Collaborate with internal audit for payroll review and transmit final payroll.
  • Prepare and issue Records of Employment (ROEs), year-end filings and statutory reporting.
  • Maintain payroll records and employee master data across all HRIS platforms.

Compensation, Benefits & Reporting

  • Administer payroll components tied to benefits, RRSP/401(k), pensions, and other employee programs.
  • Calculate and reconcile payroll-related accruals including vacation, bonuses, overtime, and statutory leaves.
  • Support Workers' Compensation/WSIB/WCB filings and reporting.

Finance Partnership & Controls

  • Prepare payroll journal entries and support month-end reconciliation.
  • Audit payroll transactions to maintain strong internal controls and financial audit readiness.
  • Partner with Finance and HR to maintain alignment across systems and policies.

Employee Experience & Service Delivery

  • Provide frontline support to employees regarding payroll inquiries.
  • Ensure payroll processes reinforce trust, transparency, and exceptional service levels.

Continuous Improvement & Systems

  • Partner with HR/IT to optimize payroll technology, workflows, and data quality.
  • Identify and implement opportunities for automation and standardization.
  • Support payroll-related project initiatives, system upgrades, and policy improvements.
Qualifications

Education & Credentials

  • Diploma or degree in Accounting, Finance, HR, or related experience.
  • PCP/CPM certification (or in progress) strongly preferred; U.S. payroll certification is an asset.

Experience

  • 3+ years of multi-province payroll experience
  • Experience working with integrated HR/payroll systems and time-tracking platforms.
  • Experience processing payroll in a multi-site organization is preferred.
