Our client, a global institutional investor and asset manager is growing again
Collins Recruitment Group has partnered with them to hire an Office Manager, Client & Strategy for their new Toronto office
Responsibilities
- Office Management: Point of contact for liaising with landlord, building management and local suppliers / agents; vendor management & negotiations
- Order office supplies and consumables
- Invoice processing
Provide comprehensive administrative, project specific and general office services to support the activities of our Toronto-based client-facing team, Global Client Solutions, including but not limited to:
- Travel coordination (air, hotel, ground transportation)
- Calendar management (heavy multi-time zone scheduling)
- Monthly expenses (Concur)
- Ad hoc client requests (website login, data room access)
- Preparation of presentations (binding, copies, etc.)
- Projects such as tracking of donations
- Assist with the organization of conferences / events
Assist with maintaining business information and business intelligence including :
- Adding client requests to Microsoft Planner
- Maintaining client contact details in CRM (Salesforce)
- Assist with maintaining and running reports for management (opportunity pipeline, redemption pipeline)

QUALIFICATIONS, KNOWLEDGE, SKILLS, ABILITIES EXPERIENCE
Considerable experience as an office manager, receptionist or administrative support within a corporate environment.
QUALIFICATIONS
- Degree preferred, but not mandatory.
- Understanding of the principles relating to the delivery of administrative services.
TECHNICAL KNOWLEDGE
- Advanced skills in MS Office Suite i.e. Planner, Word, Excel and PowerPoint.
- Candidate should be a self-starter, thorough and detail oriented.
- Knowledge of or ability to learn Salesforce or other CRM system
Enterprise Role Specific Strategic Planning
- Understand the company Investors' Business Plan.
Executive & Team Support
- Provide comprehensive administrative, project specific and general office services to support the Toronto GCS activities (including management of the office)
- Contribute to the overall effective operation of the company by delivering a consistently high standard of work in a timely manner.
- Assist with research for team / department.
- Processing of pitch books
- Assist in maintaining NAM C&S investor database (Salesforce)
- All Travel logistics : Hotels, Air, Ground Transportation
- Work closely with the NAM (NY) Support team
Policy and Process Management
- Comply with all policies and delegations applicable to the activities and decisions required in this role.
- Assist as directed with administration of ad hoc requirements and projects as required
