ABOUT YOU:

Pacific Fertility is hiring a Full-time New Patient Scheduler for our Burnaby office, scheduled Monday to Friday from 8:00am–4:30pm.

The New Patient Scheduler provides positive and proactive communication with prospective and existing patients via inbound and outbound calls, patient platforms, and email. The role focuses on delivering best-in-class patient care, handling all new patient inquiries, obtaining patient registration, and reporting weekly and monthly data on inquiries and registrations.

Your Responsibilities

  • Deliver excellent patient service on all inbound and outbound calls, emails, and chat sessions.
  • Guide patients requesting new appointments to complete registration forms.
  • Log all patient interactions daily in EMR systems.
  • Route registration forms to the appropriate contacts at each location or business office.
  • Maintain a monthly log of new patient referral totals.
  • Send new patient packets upon request.
  • Maintain patient confidentiality and comply with regulatory guidelines.
  • Monitor inbound voicemails and respond within deadlines for Canadian facilities.
  • Listen actively to determine the type of referral or information needed, showing empathy and understanding.
  • Handle a high volume of calls efficiently within established timelines.
  • Follow department guidelines for schedule adherence and readiness.
  • Monitor portal completion before scheduled consultations.
  • Review new patient referrals and online submissions throughout the day.
  • Ensure completion of registration and ROI forms.
  • Collect demographic and insurance information from patients.
  • Review inbound referrals from patients, facilities, and physicians.
  • Prepare blood test requisitions for patients.
  • Communicate regularly with physician liaisons, management, and clinical staff.
  • Assist patients with accessing platforms for welcome packages, videos, and consent forms.
  • Cross-train across multiple facilities and physicians.
  • Balance daily/weekly schedules across facilities and physicians.
  • Convert referrals and online requests into appointments following guidelines.
  • Maintain all new patient leads and meet lead targets consistently.

What You Bring To The Table

  • Up to two years of patient or customer service experience.
  • High school diploma required; Medical Office Assistant certification is an asset.
  • Experience in a medical office preferred.
