About the Opportunity

The incumbent will perform clerical procedures related to chart processing control. Specific duties can include:

  • Process inpatient admissions, day surgery and outpatient records ensuring that charts are received in the department in an appropriate time
  • Admit, discharge and transfer patients
  • Register outpatients for clinics, Day Surgery, and Emergency
  • Operate switchboard and direct calls as required to departments and patients
  • Maintain current knowledge of alarm procedures
  • Act as receptionist to the general public and other clients
  • Generate, distribute and maintain daily/monthly statistical reports
  • Accept financial payments, provide receipts, facilitate transport of receipts
  • Maintain appropriate registers and distribute to appropriate agencies as required
  • Maintain chart control procedures to ensure accurate chart retrieval/maintenance
  • Maintain the accuracy of the Master Patient Index (MPI) in Meditech
  • Provide excellent client service in a fast‑paced, deadline‑driven environment
  • Maintain confidentiality of all communications, written and verbal
  • Process all types of patient/client documentation
  • Provide assistance to physicians as required for chart completion
  • Receive and process telephone inquiries
  • Physical ability to perform the duties of the position, including bending, carrying, walking, pushing and sitting for long periods of time
About You

We would love to hear from you if you have the following:

  • Grade 12 plus graduation from an accredited secretarial or business course, or 1 year related clerical/secretarial experience required
  • Medical Terminology Course required
  • Proficient keyboarding skills
  • Demonstrated knowledge of Windows
  • Good interpersonal and communication skills – a high degree of tact, judgement and confidentiality
  • Ability to work independently, assess situations and seek resolution if possible, in accordance with District policies and procedures
  • Ability to work in an area with frequent interruptions
  • Competencies in other languages an asset; French preferred

A skill test may be included as part of the selection process.
