The Golf Shop Administrator reports directly to the Head Golf Professional and plays an essential role in streamlining administrative operations for the Golf department. We’re looking for a proactive, detail-oriented individual to handle scheduling, payroll, event coordination, and other administrative tasks—all while delivering top-tier service to exceed member expectations.

What You’ll Be Doing:

Event and Program Coordination

  • Help plan and organize programs, events, and tournaments, managing registrations for camps, social events, and clinics.
  • Collaborate with committees to plan tournaments and maintain clear communication between organizers and Golf Shop staff.
  • Aid in the coordination of all aspects of event administration, including food and beverage arrangements, prize selection, and member communications.

Administrative Support

  • Oversee payroll and manage the Dayforce system, ensuring accurate entries and timely submissions.
  • Schedule and attend committee meetings, record minutes, and follow up on action items.
  • Keep the Golf Section website and online booking systems current and accurate.
  • Work with the Marketing team to create materials like the Golf Handbook, Event Calendar, Golf Genius registration pages, and event posters.
  • Support the Head Golf Professional in maintaining a clean, organized office, Indoor Academy, and Golf Shop environment.

Member and Staff Engagement

  • Facilitate communication across departments, including Golf Shop, Starter, and Golf Services teams.
  • Assist members with inquiries, manage tee time bookings, and provide exceptional service at every touchpoint.
  • Ensure required paperwork for Golf department staff is submitted promptly to Human Resources.

Accounting and Reporting

  • Collaborate with the Accounting team to ensure accurate processing of invoices, receipts, and reconciliations.
  • Address member questions about billing and account charges with clarity and professionalism.
  • Perform administrative checks to confirm the accuracy of event and cart billing.

What We’re Looking For:

  • High School Diploma (Grade 12) required.
  • Degree or Certificate in Sports Management or Hospitality & Tourism preferred.
  • Minimum of 2 years of relevant experience.
  • Golf Administration or private club experience is an asset.
  • Proficiency in Microsoft Office
  • Familiarity with POS systems (Jonas’s experience is a plus).
  • Exceptional member service skills with a polished, professional demeanor.
  • Strong organizational and time-management abilities.
  • Experience managing departmental accounting and event budgets.
