About the Role:

The Food Safety and Quality Systems Coordinator, reporting to the FSQ Systems Manager, will be responsible for overseeing all Pre-requisite Programs (PRPs), including Good Manufacturing Practices (GMP), security, sanitation, pest control, maintenance, calibration, and food defense. This role also assists in managing third-party service providers for sanitation, pest control, Halal and Kosher compliance, and waste management programs. Key responsibilities include maintaining the food safety and quality systems, developing and updating manuals, and managing the plant’s Quality Documentation Management System to ensure all policies, procedures, work instructions, and forms are current and accessible. The Coordinator contributes to the evaluation and implementation of new procedures, ensuring they are effectively communicated and adopted across the plant. Additionally, the role supports the tracking and analysis of FSQ-related KPIs, reviewing performance trends and driving actions to ensure continuous improvement and compliance with food safety standards.

Main Responsibilities

Food Safety Plans and documentation support

  • Assist in maintaining the Food Safety and Quality systems in alignment with CFIA/FDA guidelines and group FSQ standards to ensure regulatory compliance
  • Support traceability program activities.
  • Review and organize weekly food safety-related paperwork from production, sanitation, and GMPs; escalate any concerns to FSQS Manager.
  • Support the creation and revision of Food Safety Procedures under the guidance of FSQS Manager.
  • Assist in scheduling food safety audits, traceability exercises and inspections.
  • Help implement food safety programs in new areas as directed
  • Maintain, update and provide continuous improvement for Food Safety and Quality system in order to meet CFIA/FDA regulatory guidelines and maintain certification
  • Review weekly paperwork from production, Sanitation, GMP’s, and follow up with issues that arise to ensure food safety issues are handled.
  • Create and update Food Safety Procedures
  • Create schedule of Food Safety auditing and inspections
  • Manage Food Safety implementation for new areas
  • Assist with updates to HARPC (Food Safety Plan) documentation and provide administrative support to the HARPC team.

Employee Food Safety & Quality Training

  • Develop & prepare training materials related to FSQ programs. (example: FSS22000, FSQM system, PRPs, HARPC, GMPs, Food Defense, Hygienic Zoning, FSZR, Sanitation, Chemical Safety, Pest Control, Halal, Kosher, Internal Auditing)
  • Develop & coordinate scheduling for related FSQ programs
  • Conduct FSQ portion of the new Employee Orientation for various FSQ topics
  • Track training records and report any gaps to the FSQS Manager
  • Support preparing & organizing activities related to 3rd party external training opportunities which can benefit employees

Auditing and certification Support

  • Fully manage the GMP program auditing, corrective actions and provide bi weekly reports to the FSQS manager
  • Provide support in preparing for internal and external audits (e.g., FSSC 22000, ISO).
  • Assist with audit follow-up tasks and documentation management.
  • Coordinate document preparation and filing for certifications
  • Guarantees training to auditors.
  • Guarantees internal audit planning and execution.
  • Guarantees the planning and management of internal audit follow up related to both Group (FQD, Corporate audits) and plant (plant and industrial warehouses)
  • Assures preparation and maintenance of all the certifications related to quality: standard Group certifications (ISO9001 and FSSC22000), certifications required by clients (IFS, McDonald, Costco, ethic-religious…) or local authorities.
  • Support identification of continuous improvement actions which can be implemented in program to enable Consumer Trust, Consumer Preferences, Operational Efficiencies
Main Responsibilities Continued

Outsourced Services

  • Act as a liaison between production and third-party sanitation and pest control providers.
  • Report any service issues or non-conformances to the FSQS Manager and manage corrective actions
  • Ensure documentation and service logs from contracted providers are kept up to date.
  • Oversee the day to day activities of the industrial cleaners (company contracted) and pest control company ensuring compliance with Ferrero standards
  • Liaison between Ferrero staff and Cleaning crew to resolve any issues including Health and Safety – including HR
  • Supports overseeing the day to day topics for Kosher & Halal certification.
  • Support Food Safety Quality Systems Manager with service invoice tracking and budget documentation.
  • Help coordinate with purchasing on FSQ-related service contracts and work with accounting with the invoicing of services and approvals of services
  • Reviewing contract with all outsourced companies.
  • Assist FSQSM with the preparation of the FSQ operational programs budget and monitor and review of all FSQ programs to ensure budget is met
  • Support FSQ/Environmental teams in implementing and maintaining EMS-related activities in key areas.
  • To assist in the implementation of and conformance to the Environmental Management System within key process areas
Who we are looking for
  • Quality Assurance experience in a food manufacturing environment
  • Educational background in Food Safety/Microbiology/Food Science or related field
  • Knowledge of Food Safety programs and GMP’s
  • Knowledge of ISO Standards – ISO 9001 and FSSC 22000
  • Internal auditing experience is an asset
  • Ability to conduct presentations and training sessions
  • Excellent analytical and organizational skills
